Administration Assistant Apprenticeship Opportunity
HTP Apprenticeship College is offering an Administration Assistant apprenticeship opportunity at our Portsmouth Campus. You will be the welcoming face to meet guests, including learners, employers, and key stakeholders who visit us. In addition, you will provide administration support for the office and the staff.
Wage: £15,392 to £24,454.04, depending on your age (National Minimum Wage)
Training course: Administration assistant (level 2)
Hours: Monday-Thursday, 9.00am-5.00pm. Friday, 9.00am-4.30pm. (37 hours a week)
Start date: Wednesday 21 October 2026
Duration: 1 year

What you'll do at work
Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.
- Provide flexible and varied support for HTP staff and learners as well as any visitors to the site or external suppliers or working partners.
- Maintain security for the building by providing passes to visitors and monitoring learner activities.
- Managing reception area including welcoming guests and answering phone calls and responding appropriately to staff, learner, caller, or guest needs.
- Organising meetings, scheduling appointments, and overseeing room bookings and facilities management.
- Support with exam bookings and invigilation activities.
- Keep appropriate records of activities within agreed HTP processes and systems which stand up to audit purposes where required.
- Supporting the learners by being mindful of their health and safety in relation to their environment at HTP during their time on programme.
- Promoting British Values, Equality and Diversity, Safeguarding, and health and safety in all activities, locations, and situations.
- Managing reception activities and forwarding appropriate enquiries to relevant staff.
- Working as part of the team to ensure that the wellbeing and personal development of the learner enhances their learning opportunities and life skills.
- Attending team meetings to maximise the development of learning programmes and to assist in the delivery of the individual learning programmes on a daily basis to promote learning, behaviour, and communication skills.
- Fostering links between learners, HTP, and any other external agencies that HTP works with.
- Participating in relevant professional development as deemed appropriate for the needs of HTP and its learners.
- Understanding and applying the HTP policies and quality procedures, particularly those relating to learning and behaviour, and any relevant statutory guidelines.
- Maintaining confidentiality and sensitivity to learner’s needs but have regard to the safeguarding procedures of HTP and the local authority.
- Assisting in the promotion of courses through Advice Evenings, Activity days, and other types of marketing events as requested by HTP.

What you'll learn
Course contents
- Receive, retrieve, process, record, and store information and data.
- Operate within organisational policies, standards, and procedures and relevant legislation respecting confidentiality; adapting to operational changes as they occur.
- Use software packages and tools for example AI or automation to input and process data and information, to contribute to routine administration tasks in line with organisational policies and procedures.
- Handle and communicate information in line with organisational policies, procedures, and security requirements.
- Recognise and rectify issues and escalate as required. For example, stakeholder documents and reports, safeguarding concerns, or abusive behaviour.
- Plan and review administration tasks allocated by supervisor.
- Maintain professional relationships with stakeholders.
- Monitor and report on the use of resources such as materials, equipment, and supplies.
- Use agreed organisational systems and protocols to manage calendars, diaries, and booking systems.
- Source information as requested by stakeholders, ensuring they are shareable. As examples, client records, signpost to services or reports.
- Use continuing professional development including self-reflection to support current and future training and development needs.
- Use communication tools to respond to stakeholders using professional language and organisational etiquette.
- Operate within agreed health and safety standards.
- Use time management tools to meet deadlines.
- Handle feedback following expected professional etiquette.
- Maintain wellbeing, accessing organisational support mechanisms if required.
- Review and check own work.
- Use cloud services to share documents for use and/or collaboration.
- Protect against security threats, for example, strong passwords, two-step verification, office tailgating, and display of security passes or clothing that identifies secure workplaces.
- Seek clarification and help, when required, to complete assigned tasks within agreed timeframes.
