About the Role
This is a fantastic opportunity for someone looking to begin their career in a professional healthcare setting. What You'll Do at Work
The apprentice will work as part of the reception and administration team, supporting the smooth day-to-day running of the practice. Duties will include:
- Receiving, assisting and directing patients to the appropriate service or healthcare professional in a courteous, efficient and effective manner.
- Providing administrative support to the practice team and maintaining a positive and friendly image to patients and visitors, both in person and over the telephone.
- Developing a thorough knowledge of practice procedures and working in accordance with practice protocols and policies.
- Filing correspondence into patient medical records.
- Scanning, photocopying and electronically filing documents as required.
- Processing online consultation requests via the practice's online consultation system (AMGP).
- Monitoring and processing practice email communications.
- Booking patients in and assisting with patient enquiries.
- Issuing completed repeat prescriptions to patients in line with practice procedures.
- Covering all reception duties as required.
- Processing requests for same-day and future appointments by telephone and face-to-face.
- Handling home visit requests and other patient queries.
- Maintaining confidentiality and ensuring accurate patient records are updated where appropriate.

Course Contents

- Use appropriate verbal and non-verbal communication skills, along with summarising language during face-to-face communications.
- Use appropriate communication skills, along with reinforcement techniques (to confirm understanding) during non-facing customer interactions.
- Use an appropriate ‘tone of voice’ in all communications, including written and digital, that reflect the organisation’s brand.
- Provide clear explanations and offer options in order to help customers make choices that are mutually beneficial to both the customer and your organisation.
- Be able to organise yourself, prioritise your own workload/activity, and work to meet deadlines.
- Demonstrate patience and calmness.
- Show you understand the customer’s point of view.
- Use appropriate sign-posting or resolution to meet your customers needs and manage expectations.
- Maintain informative communication during service recovery.

Training Schedule
Training and Qualification
The apprentice will undertake the Level 2 Customer Service Practitioner Apprenticeship Standard (or the apprenticeship standard being delivered by your training provider). Training will be delivered primarily in the workplace at Pemberton Surgery, where the apprentice will gain practical experience and develop the knowledge, skills, and behaviours required for the role. There is no day release to college. The apprentice will complete all training within the practice, supported by experienced colleagues and a dedicated apprenticeship tutor. The tutor will visit the practice regularly to provide coaching, assess progress, and support the apprentice throughout their programme.

Other Requirements
This is a busy and rewarding role involving regular use of computers and telephones. As the first point of contact for patients, reception staff may occasionally deal with challenging situations and distressed patients. The successful candidate will need good communication skills and a calm, professional approach.
About the Employer
Pemberton Surgery is a busy general practice with a patient population of 10,250 patients. We are situated in a purpose-built health centre which is shared by 2 GP practices, community clinic, and a dentist. The practice team comprises of 4 GP partners, 2 salaried GPs, 3 practice nurses, an HCA, a Clinical Pharmacist, a pharmacy technician, Practice manager, Operations manager, Business Support Officer, Reception Manager, Reception supervisor, and 12 admin/receptionist. We are also a training practice hosting Trainee GP’s and Student Nurses and GP Registrars. We are a very friendly, hardworking and supportive team who deals with the ever-changing face of general practice effectively. We are active members of our Primary Care Network and are members of a GP federation.
