Summary

Trucksafe Commercials are searching for an enthusiastic and confident individual to become their new Administration and Reception Apprentice. The successful candidate will offer admin support for their office and workshop. You’ll assist customers and colleagues with bookings and ordering parts, ensuring they receive excellent service.

Wage

  • £14,560 for your first year, then could increase depending on your age
  • National Minimum Wage rate for apprentices
  • Starting at £8.00 per hour, your wage will be reviewed regularly as you learn and develop.

Training

  • Course: Business administrator (level 3)
  • Hours: Normal working hours are 09.00 - 17.00, working Monday to Friday, with an hour for lunch. 35 hours a week
  • Start date: Monday 26 October 2026
  • Duration: 1 year 6 months
  • Positions available: 1

Work

Most of your apprenticeship is spent working. You’ll learn on the job by getting hands-on experience.

What you'll do at work

Trucksafe Commercials is located on North Moss Lane in Stallingborough, offering commercial vehicle servicing, maintenance, and repairs to external clients. As their new Apprentice, you’ll be the backbone of their professional services, communicating with their clients and helping ensure everything runs smoothly.

You will be trained and mentored to learn their processes and internal systems, helping with bookings, parts orders, enquiries, and general administration. Duties will include:

  • Data entry, updating client and workshop records, ensuring information and documents are stored correctly.
  • Assisting customers with bookings and queries, over the telephone and via Email.
  • Offering exceptional customer service.
  • Using Sage, Microsoft Excel and Outlook, as well as bespoke booking and parts ordering software.
  • Creating, updating, and following up invoices.
  • Assisting with scheduling jobs and planning work calendars for their workshop team.
  • Taking part in learning activities to develop your career.
  • General administration and housekeeping.
  • All other associated duties as required.

Training

What you'll learn

Skilled in the use of multiple IT packages and systems relevant to the organisation in order to:

  • Write letters or emails, create proposals, perform financial processes, record and analyse data.
  • Examples include MS Office or equivalent packages.
  • Able to choose the most appropriate IT solution to suit the business problem.
  • Able to update and review databases, record information, and produce data analysis where required.
  • Produces accurate records and documents including: emails, letters, files, payments, reports, and proposals.
  • Makes recommendations for improvements and present solutions to management.
  • Drafts correspondence, writes reports, and able to review others' work.
  • Maintains records and files, handles confidential information in compliance with the organisation's procedures.
  • Coaches others in the processes required to complete these tasks.
  • Exercises proactivity and good judgement.
  • Makes effective decisions based on sound reasoning and is able to deal with challenges in a mature way.
  • Seeks advice of more experienced team members when appropriate.
  • Builds and maintains positive relationships within their own team and across the organisation.
  • Demonstrates ability to influence and challenge appropriately.
  • Becomes a role model to peers and team members, developing coaching skills as they gain area knowledge.
  • Demonstrates good communication skills, whether face-to-face, on the telephone, in writing, or on digital platforms.

  • Makes suggestions for improvements to working practice, showing understanding of implications beyond the immediate environment (e.g. impact on clients, suppliers, other parts of the organisation).
  • Manages resources e.g. equipment or facilities.
  • Organises meetings and events, takes minutes during meetings, and creates action logs as appropriate.
  • Takes responsibility for logistics e.g. travel and accommodation.
  • Uses relevant project management principles and tools to scope, plan, monitor, and report.
  • Plans required resources to successfully deliver projects.
  • Undertakes and leads projects as and when required.

Training schedule

All delivery for this apprenticeship will take place within your place of work. A dedicated Vocational Trainer will visit on average once every 4 weeks, to establish a personal learning and development plan, outlining a schedule of training activities and business objectives. You will complete a mixture of on and off the job training, including workshops, face to face training, and online sessions. You’ll also be supported by your colleagues at all times, and will have a full induction. You will have a review every 8-12 weeks with your Line Manager and Trainer to discuss your progress.
