The administration apprentice role

The administration apprentice role is a developmental position within the plant support function. During the apprenticeship you will work 5 days per week, inclusive of 1 day per week for study at Kirklees College. On completion of this apprenticeship, will obtain level 2 administration assistant qualification.

The working hours are flexible within the business needs and must cover core office hours of 8am - 4pm.

We are looking for an enthusiastic apprentice to join our team specialising in administration for our plant support function in Huddersfield, UK. During your apprenticeship with us, you will learn how a major global organisation operates, gaining the tools and exposure you will need to become an expert in the industry and power your potential!

In this role, you will make an impact in the following ways:

  • Supporting Materials, Operations and Plant Support teams with routine administrative activities, helping operational teams focus on higher-value work
  • Creating, maintaining and distributing operational documentation, while ensuring compliance with document retention and information management requirements
  • Supporting Kanban administration activities, business system updates, and maintaining records, trackers and databases
  • Producing and distributing routine reports, performance information, and plant communications, including visual management materials and signage
  • Supporting invoice reconciliation and administrative purchasing activities across operational teams
  • Gathering, collating and validating data for improvement projects and operational activities to support informed decision-making and continuous improvement

To be successful in this role you will need the following:

  • A minimum of 5 GCSEs Grade A*- C (level 4-9): Including English language and Mathematics. *If you have not yet achieved your GCSEs but are due to finish school this Summer, please include details of your mock or predicted grades in your application
  • Competent use of Microsoft software packages such as PowerPoint, Excel and Word
  • Effective communication, developing and delivering multi-mode communications that convey a clear understanding of the unique needs of different audiences
  • Planning and prioritisation of work to meet commitments and deadlines
  • Action oriented taking on new opportunities and challenges with a sense of urgency, high energy, and enthusiasm

Course contents

  • Receive, retrieve, process, record and store information and data.
  • Operate within organisational policies, standards and procedures and relevant legislation respecting confidentiality; adapting to operational changes as they occur.
  • Use software packages and tools for example AI or automation to input and process data and information, to contribute to routine administration tasks in line with organisational policies and procedures.
  • Handle and communicate information in line with organisational policies, procedures and security requirements.
  • Recognise and rectify issues and escalate as required. For example stakeholder documents and reports, safeguarding concerns or abusive behaviour.
  • Plan and review administration tasks allocated by supervisor.
  • Maintain professional relationships with stakeholders.
  • Monitor and report on the use of resources such as materials, equipment and supplies.
  • Use agreed organisational systems and protocols to manage calendars, diaries and booking systems.
  • Source information as requested by stakeholders, ensuring they are shareable. As examples client records, signpost to services or reports.
  • Use continuing professional development including self-reflection to support current and future training and development needs.
  • Use communication tools to respond to stakeholders using professional language and organisational etiquette.
  • Operate within agreed health and safety standards.
  • Use time management tools to meet deadlines.
  • Handle feedback following expected professional etiquette.
  • Maintain wellbeing, accessing organisational support mechanisms if required.
  • Review and check own work.
  • Use cloud services to share documents for use and or collaboration.
  • Protect against security threats for example, strong passwords, two step verification, office tailgating and display of security passes or clothing that identifies secure workplaces.
  • Seek clarification and help, when required, to complete assigned tasks within agreed timeframes.

Administration Assistant Level 2.

GCSE in:

  • 3 other subjects (grade C/4 or above)
  • Maths and English Language (grade C/4 or above)
