Area Administrator – Southwest Team

Job Details
- Contract: Full Time, Permanent
- Location: Exmouth, Devon, EX8 5AR
- Working Hours: 37.5 Hours Per Week, Monday to Friday (8:00AM – 4:00PM)
We’re looking for an enthusiastic and driven Area Administrator to join our growing Southwest team, supporting the project side of the contract across key MOD sites including:
- RNAS Yeovilton
- RM Chivenor
- RM Instow
- CTCRM Lympstone
- Norton Manor
About the Role
Working closely with the Area Manager, Service Managers, contractors, and MOD stakeholders, you’ll coordinate and support the delivery of Additional Works projects (valued up to £100k).
Key responsibilities include:
- Managing project tracking, coordination of communications, and maintaining key systems and documentation.
- Ensuring smooth project progression from allocation to completion.
- A significant focus on:
- Managing and closing work orders
- Maintaining the Southwest Project Tracker
- Raising SONs through CAFM systems
- Regular stakeholder and client liaison, including:
- Minutes taking for project meetings
- Tracking actions
- Responding to high-volume queries and project chasers daily

This role operates in a busy and dynamic environment, requiring flexibility, initiative-taking, multi-tasking, and ساالنandbox’ac'appuyant sur plusieurs systèmesامرَة healとつ. proficiency with Microsoft Office, particularly Excel, and experience with CAFM systems and other IT platforms is essential.
The role is primarily site-based at CTCRM Lympstone, although travel may be required occasionally as business demands.
Responsibilities
Support the area manager, service managers, contractors, and stakeholders in:
- Managing day-to-day operations and project coordination
- Maintaining documentation and records
- Liaising effectively with team members and external partners
- Using your own judgment and initiative in a fast-paced environment
Key tasks:
- Handling and closing work orders
- Updating the Southwest Project Tracker
- Processing SONs (Stated Orders of Negotiations) via CAFM systems
- Managing scheduling for facilities maintenance
- Physical site checks and appraisal
Requirements
We’re seeking someone who:
- Thrives in a busy environment while delivering excellent customer service
- Can balance multiple priorities efficiently
Ideal qualifications and experience:
- NVQ Level 2 equivalent or practical experience strongly preferred
- Essential: Previous administration experience
- Desirable: Experience within Facilities Management or operational support
- Strong Microsoft Office (especially Excel) and CAFM system experience
- Microsoft Office proficiency including Excel essential
- Comfortable adapting to new processes and IT systems
- Excellent written and verbal communication across teams, clients, contractors, and stakeholders
