Ariba System Advisor

  • Grade: Band 2
  • Contract: Permanent
  • Salary: From £44,000 based on Skills and experience
  • Location: Endeavour Square (Stratford, London) – Hybrid
  • Closing Date: Thursday 10th September 2026 @ 23:59

Job Purpose

The role holder will provide administration of the Ariba Systems to ensure the Ariba Source to Pay system functionality meets the business requirements. They will work with Tech & Data and the Procurement & Commercial Capability Leads.

Maintaining a user-friendly buying process to achieve the efficient payment of properly authorised invoices in accordance with company policies and procedures and in line with Business Services Function Service Level Agreements.

The role will support continuous improvement, delivering best practice solutions as well as the development and implementation of a clearly defined strategy for Source to Pay.

Key Accountabilities

  • Performing system administration of the Ariba platform, in an effective manner maintaining the system integrity and supporting the business requirements. Regulating accuracy of data quality and raising any performance, systems or data quality issues/risks to the Ariba Systems Lead
  • Maintenance of the Ariba Source to Pay solution including Ariba Sourcing and Contract templates, workflow approvers for TfL leavers / joiners / team changes, Framework templates, Gatekeeper for Procurement & Commercial Organisation changes, Gatekeeper for the Ariba Roles, Ariba manual data maintenance to ensure that the Ariba system is maintained and the Buying Process is supported.
  • Provide 2nd line support to the Business Services Function Service Desk for Source to Pay system related queries.
  • Managing the service requests routed through to the 2nd line support queues, interacting with the customer through to resolution
  • Raising Remedy Tickets to engage Level 3 support from the relevant Tech & Data teams when required
  • Working with the Ariba Systems Lead to deliver changes determined by the Source to Pay (S2P) Improvement Forum

Knowledge, Skills and Experience

Knowledge

  • An understanding of the Ariba Source to Pay end-to-end functionality
  • An understanding of best practice in systems across commercial functions in other organisations
  • An understanding of TfL's data governance policies, including GDPR and how this applies to TfL's commercial data
  • An understanding of Tech & Data 's policies, systems and data roadmap including architecture
  • An understanding of how to deliver new system requirements

Skills

  • Working with the Ariba Systems Lead to ensure that the Ariba platform supports the business requirements.
  • Own and manage Service Request tickets with a customer focused approach. Progress Service Requests through to resolution, engaging, handing over and working with Level 3 Support (Tech & Data ) where required.
  • Work with the Procurement & Commercial (P&C) Capability Leads and Tech & Data in an effective and collaborative manner, to determine and deliver system changes whilst maintaining system integrity.
  • Work with the wider Source to Pay Operations team to ensure an effective end-to-end Source to Pay (S2P) solution.

Experience

  • Experience of systems maintenance for the Ariba platform or similar Procurement systems
  • Experience of supporting users to get the best out of systems through training, user guides etc
  • Experience of driving best practice usage, educating users in the potential of systems and influencing behaviour change
  • Experience of developing system requirements to meet business outcomes and defining system improvements
