The Role

This is a crucial role within a small team, which will be comprised of 70% administration/art collection management duties and 30% creative with art event responsibilities, with additional some curatorial tasks as needed.

Administrative Responsibilities:

  • Completing paperwork relating to every acquisition including raising contracts and processing invoices
  • Assisting artists with activation of memberships, contra upload, and House bookings
  • Responding to existing and new artist enquiries
  • Liaising with artists to obtain detailed information for every artwork
  • Maintaining art database and internal server, keeping inventory up to date daily
  • Arranging delivery and collections of artworks
  • Liaising with framers, technicians, and logistics partners for installation
  • Using InDesign to create and keep art maps up to date for website, create installation plans with the curatorial team
  • Assisting with gathering art-related content for presentations, press, and social media
  • Assisting Chief Art Director and Head of Art Collection with diary, travel, and administration
  • Ad hoc administration support to all team members (i.e. booking rooms, team calendar management, meeting minutes, etc.)
  • Art collection events attendance and support as needed (talks, artists dinners, temporary installations, etc.)
  • Mail out for events and RSVP capture

Creative Responsibilities:

  • Researching artists for ‘glow’ events (short-term art installations)
  • Liaising and supporting artists with the creation of glow events
  • Hosting events with artists such as speeches, introductions, and panel moderation
  • Assistance at art installation on new and existing sites
  • Curating small sites when they arise such as Soho Works, restaurants, studios

Essential experience:

  • Undergraduate degree, arts-related a bonus
  • Minimum 2 years proven administration experience in a comparable role
  • Experience dealing with artists and artworks
  • Excellent attention to detail
  • Database experience
  • InDesign and Photoshop experience
  • Be an excellent collaborator and self-motivated
  • Public speaking

Extra desirable:

  • Arts management degree
  • Second language
  • Experience organizing a large volume of artworks and installation
  • Event management experience
