About Future Festivals
Future Festivals is a fast-growing festival programming and artist operations company. We work with festivals and large-scale live events across the UK, providing artist booking, programming, artist operations and on-site artist liaison services.
As our portfolio continues to grow, we are looking for an organised, proactive and hard-working individual to join our team as an Artist Operations & Booking Coordinator.
The Role
The primary focus of this position will be artist operations and administration. This includes coordinating artist requirements before and during each festival, ensuring that every artist is fully prepared and that all relevant information is communicated clearly to the artist, promoter and wider event team.
The successful candidate will also provide administrative support throughout the booking process, maintaining accurate records, assisting with availability checks, offers and contracts, and helping the booking team manage multiple festival line-ups.
This is a varied role within a small and ambitious team. It would suit someone who is highly organised, comfortable managing a significant volume of information and confident communicating with artists, agents, tour managers, promoters and festival departments.
Key Responsibilities
Artist Operations
- Manage the hospitality and artist operations process across multiple festivals and events.
- Liaise with artists, agents and tour managers to collect riders, travel details, accommodation requirements, accreditation information, guest lists and other essential information.
- Maintain accurate artist records through the Future Festivals Advancing Portal and ensure information is shared with the appropriate festival departments.
- Monitor deadlines, follow up on outstanding information and identify any potential issues ahead of each event.
- Support dressing-room planning, artist schedules, transport arrangements and the production of operational documents.

Booking and Administration
- Support the booking team with artist availability checks, offers, contracts and general artist research.
- Maintain accurate booking trackers, festival line-ups, talent budgets and records of agreed terms.
- Prepare client updates, presentations and other booking or operational documents.
- Maintain organised digital files and provide general administrative support across the company.
- Attend internal and client meetings, record actions and ensure agreed tasks are followed up.
On-Site Artist Operations
- Work as part of the Future Festivals artist liaison team at selected festivals and events.
- Welcome artists and tour managers and assist with accreditation, dressing rooms, hospitality and guest-list requirements.
- Communicate with production, security, transport, catering and other event departments.
- Help resolve artist-related issues quickly and professionally.
- Support the smooth running of backstage areas and the artist village.
Skills and Experience
The successful candidate should have:
- Strong organisational and administrative skills.
- Excellent attention to detail.
- The ability to manage several projects and deadlines simultaneously.
- Clear and professional written and verbal communication skills.
- Confidence communicating with artists, agents, managers, tour managers and event professionals.
- Good working knowledge of Microsoft Office, Google Workspace and cloud-based systems.
- The ability to remain calm and organised in a busy, fast-moving environment.
- A proactive approach and willingness to take responsibility for tasks.
- Strong problem-solving skills and good professional judgement.
- The ability to work independently while remaining a supportive member of a small team.

Previous experience within festivals, live music, artist liaison, event administration, talent booking, artist operations or artist advancing would be beneficial. However, attitude, organisation, reliability and a genuine interest in the live-events industry are equally important.
Working Requirements
The role will involve travel and on-site work at festivals and events throughout the UK. This will include some evenings, weekends and periods away from home during the festival season.
The successful candidate must be comfortable working flexible hours during busy periods and contributing practically on site when required.
