Artwork & Packaging Project Co-ordinator

Location: Leeds, Full Time, Onsite

Department: Marketing

Reports To: Head of Product Management

Salary: £30,000-£35,000

About the Role

We are looking for an ambitious and highly organised Artwork & Packaging Project Co-ordinator to support the growth of The Pink Stuff and the wider Star Brands portfolio.

The successful candidate will coordinate a high volume of artwork and packaging changes, manage approval workflows and maintain accurate records. They will work closely with internal teams and external partners to ensure artwork is delivered accurately, compliantly and on time.

Working closely with Product Development, Regulatory, Operations, Design, Sales and Marketing, the role will manage artwork briefs, coordinate reviews and approvals, maintain trackers and follow up on actions across domestic and international packaging projects.

This role is ideal for someone who is highly organised, comfortable with detailed and repetitive administrative tasks, and able to manage multiple artwork projects in a fast-paced FMCG environment.

Key Responsibilities

Artwork & Packaging Management

  • Coordinate end-to-end artwork projects for printed packaging components, from initial brief through to final print production, working with agencies, printers and packaging suppliers.
  • Manage artwork amendments and packaging updates, including copy changes, claims, product information and regulatory requirements.
  • Review and approve packaging artwork for accuracy, consistency, branding, legal compliance and alignment with approved product information, ensuring all required sign-offs are secured before production.
  • Maintain artwork trackers, approval systems and project documentation, providing clear visibility of project status, actions and deadlines.
  • Manage version control of approved artwork PDFs and packaging files, ensuring the correct files are accessible to relevant internal teams and external suppliers.
  • Manage EAN code creation and maintenance across the product portfolio.

Artwork Delivery & Packaging Administration

  • Coordinate artwork and packaging updates required for new product launches, existing products, - packaging redesigns and regulatory changes.
  • Manage artwork schedules, approval deadlines and key deliverables to keep projects on track.
  • Liaise with production planning and suppliers to coordinate new packaging and the run-in and run-out of existing packaging.
  • Prepare accurate artwork briefs, collate stakeholder feedback and ensure amendments are completed correctly.
  • Provide regular status updates and proactively follow up on outstanding information, reviews and approvals.
  • Maintain accurate product information, packaging specifications and artwork records across internal systems.
  • Complete product set-up documentation, artwork administration and filing.
  • Support reporting, change control and continuous improvement of artwork and packaging processes.

Project Coordination & Cross-Functional Working

  • Act as a key liaison between Marketing, Product Development, Regulatory, Operations, Manufacturing, Sales and Supply Chain teams.
  • Gather information, coordinate approvals and follow up on actions to keep projects moving forward.
  • Monitor key milestones, critical paths and project schedules.
  • Proactively identify and escalate risks, delays or issues that may impact launch timing.
  • Support UK and international teams to ensure projects are delivered successfully.
  • Identify opportunities to improve processes and ways of working.

Packaging Samples & Logistics Administration

  • Manage the preparation and distribution of product samples for retailers, agencies, suppliers and international teams.
  • Prepare and package products for shipment globally.
  • Coordinate courier bookings, shipment tracking and issue resolution.
  • Maintain accurate records of sample inventories and shipments.
  • Monitor courier performance and identify opportunities for improvement.

Skills & Experience

Essential

  • At least one year of experience in packaging, artwork coordination, project administration or a related role.
  • Experience managing multiple projects and deadlines simultaneously.
  • Strong project management and organisational skills.
  • Strong experience coordinating packaging artwork or print projects.
  • Excellent attention to detail and proofreading capability.
  • Strong written and verbal communication skills.
  • Confident working with suppliers, agencies and cross-functional teams.
  • Ability to manage detailed artwork workflows and maintain accurate records.
  • Highly organised and agile, able to manage shifting priorities and tight timelines.
  • Proficient in Microsoft Office, particularly Excel, PowerPoint, Word and Outlook.
  • Ability to work independently and as part of a team in a fast-paced environment.
