Job Description

Job Title: Assessment Officer

1. UKCBC Purpose

UKCBC exists to enable opportunity, cultivate confidence and develop capability through applied, inclusive and professionally relevant higher education. The College delivers higher education programmes under franchise arrangements with awarding body partners and is committed to meeting sector recognised standards while progressing towards registration with the Office for Students.

UKCBC operates as a teaching focused provider. Academic standards, curriculum design and awards are set by awarding body partners. UKCBC is responsible for ensuring that teaching delivery, assessment administration, academic support and the wider learning environment enable students to meet those standards and progress successfully through their studies and into positive destinations.

2. Job Purpose

The Assessment Officer operates within the Academic Registrar Directorate as part of the Registry strand. The role ensures that assessment processes, academic casework and examination board administration are delivered with procedural integrity, timeliness and documentary rigour.

Working under the direction of the Head of Academic Records, the post holder supports the full assessment lifecycle, including submission monitoring, mark validation, progression preparation and award processing. The role provides structured administrative control over academic misconduct and academic appeals casework and coordinates partner examination board processes.

The Assessment Officer safeguards the defensibility of academic decisions by ensuring that procedures are applied consistently, records are complete and timelines are adhered to. The role does not exercise academic judgement but ensures that academic judgement is enabled through robust administration.

3. Key Responsibilities:

3.1 Assessment Process Administration

  • Coordinate assessment submission processes across programmes, ensuring clarity of deadlines and accurate recording of submissions.
  • Validate mark entry within the student information system, ensuring completeness, consistency and alignment with approved assessment regulations.
  • Support preparation of progression and award documentation prior to formal decision making, ensuring that data presented for consideration is accurate and complete.
  • Maintain structured records of assessment outcomes and ensure timely updating of student records following confirmed decisions.

3.2 Proactive Submission Monitoring and Case Management

  • Monitor submission activity across modules and programmes and identify non submission or late submission cases.
  • Issue proactive outbound communications prior to assessment deadlines and during late submission windows to support compliance and reduce avoidable failure.
  • Maintain detailed case records for non submission and late submission instances, ensuring that actions taken are documented and traceable.
  • Escalate persistent non submission patterns in line with institutional policy.

3.3 Academic Misconduct Case Administration

  • Administer academic misconduct processes in accordance with institutional procedures.
  • Log allegations, coordinate evidence gathering and manage timelines to ensure procedural compliance.
  • Prepare documentation for academic misconduct panels, ensuring completeness and clarity of case files.
  • Record outcomes accurately and ensure that decisions are reflected appropriately in the student record system.
  • Maintain strict confidentiality and procedural fairness in all case handling.

3.4 Academic Appeals Administration

  • Administer academic appeals processes, ensuring adherence to defined timelines and procedural requirements.
  • Coordinate collation of evidence and preparation of documentation for appeal consideration panels.
  • Maintain comprehensive records of appeal outcomes and associated actions.
  • Ensure that appeal administration supports transparency and regulatory defensibility.

3.5 Partner Examination Board Coordination

  • Prepare and validate data for partner examination boards, ensuring accuracy of progression and award information.
  • Coordinate submission of board documentation in accordance with partner requirements and deadlines.
  • Liaise with partner institutions to resolve queries or discrepancies prior to and following board decisions.
  • Maintain structured records of board documentation and confirmed outcomes.

3.6 Documentation Control and Audit Readiness

  • Maintain organised and version controlled documentation supporting assessment, misconduct and appeals processes.
  • Ensure that assessment related records are complete, accessible and capable of audit scrutiny.
  • Support preparation for internal or external review activity relating to assessment administration.

4. Other Responsibilities:

  • Ensure compliance with all UKCBC policies and procedures, including those relating to academic quality, data protection, safeguarding and information security.
  • Maintain full compliance with health and safety requirements, taking reasonable care for personal safety and the safety of others, and supporting a safe and secure working and learning environment.
  • Actively support and promote equality, diversity and inclusion, ensuring fair, respectful and inclusive practice in all aspects of work.

  • Complete all mandatory and relevant professional development training courses as assigned by the College within the specified timeframes.
  • Undertake any other duties commensurate with the level of the role.
