Job Purpose

To support the Block Manager in the effective management of a portfolio of residential developments, ensuring compliance with legal and regulatory requirements, maintaining high customer service standards, and assisting with the financial, operational, and maintenance aspects of property management.

Key Responsibilities

Property Management

  • Assist in the day-to-day management of a portfolio of residential blocks and developments.
  • Support the Block Manager in ensuring properties are maintained to a high standard.
  • Conduct site inspections and prepare inspection reports.
  • Monitor common areas and identify maintenance requirements.
  • Assist in coordinating remedial and planned maintenance works.

Resident and Client Relations

  • Respond to leaseholder, resident, and client enquiries in a professional and timely manner.
  • Assist in arranging and attending resident meetings where required.
  • Help resolve complaints and service-related issues

Contractor Management

  • Liaise with contractors, suppliers, and service providers.
  • Obtain quotations for repairs, maintenance, and improvement projects.
  • Monitor contractor performance and ensure works are completed satisfactorily.
  • Assist with procurement processes and contractor compliance checks

Financial Administration

  • Assist in the preparation and monitoring of service charge budgets.
  • Process invoices and ensure expenditure is appropriately authorised.
  • Support the reconciliation of service charge accounts.
  • Monitor expenditure against approved budgets.
  • Assist with year-end accounting processes and audits.

Compliance and Health & Safety

  • Support compliance with all relevant legislation and industry standards.
  • Ensure health and safety inspections are carried out and records maintained.
  • Monitor statutory compliance requirements.
  • Maintain accurate compliance records.

Administration

  • Maintain property management databases and records.
  • Prepare correspondence, reports, and meeting documentation.
  • Update property files and document management systems.

Experience Essential

  • Previous administrative or customer service experience.
  • Experience working in property management, housing, facilities management, or a related environment.
  • Experience dealing with customers and resolving queries.

Desirable

  • Experience within residential block management.
  • Knowledge of leasehold management practices.
  • Experience attending site inspections and managing contractors.
  • Understanding of service charge accounting.

  • Excellent verbal and written communication skills.
