Job Description

We are seeking an enthusiastic and proactive Assistant Building Manager to support the day-to-day management of Finsbury Circus House, a landmark office building in the heart of the City of London. This is an excellent opportunity for an ambitious individual looking to build a career within commercial property and facilities management.

The Role

Reporting to the Building Manager, the Assistant Building Manager will help ensure the smooth operation, maintenance, compliance and occupier experience of Finsbury Circus House. The successful candidate will act as a key point of contact for occupiers, contractors and visitors, supporting the delivery of a first-class building management service.

Key Responsibilities

Building Operations

  • Support the day-to-day management of the building and its common areas.
  • Conduct regular property inspections and identify maintenance requirements.
  • Monitor building services, including M&E systems, lifts, security systems and cleaning services.
  • Assist in ensuring the building is maintained to the highest operational standards.
  • Support the mobilisation and delivery of property improvement projects.

Occupier Experience

  • Develop and maintain strong relationships with occupiers and visitors.
  • Act as a first point of contact for occupier queries and service requests.
  • Coordinate occupier communications, building notices and service updates.
  • Support tenant engagement initiatives and community events.
  • Help deliver an exceptional customer experience throughout the building.

Contractor Management

  • Liaise with service partners including cleaning, security, M&E and specialist contractors.
  • Review contractor performance and monitor service delivery against agreed KPIs.
  • Ensure contractors comply with site procedures and health & safety requirements.
  • Manage permits to work and contractor access arrangements.

Health, Safety & Compliance

  • Assist with the management of statutory compliance requirements.
  • Support fire safety procedures, risk assessments and emergency planning.
  • Maintain accurate compliance records and documentation.
  • Undertake regular health & safety inspections and report findings.
  • Assist with incident reporting and follow-up actions.

Financial Administration

  • Raise purchase orders and process invoices.
  • Support service charge budgeting and expenditure tracking.
  • Maintain accurate financial records and reporting information.
  • Assist with contractor tendering and procurement exercises.

Sustainability

  • Support the delivery of environmental and sustainability initiatives.
  • Assist in monitoring energy, water and waste performance.
  • Promote sustainable practices throughout the building.

Qualifications

Essential

  • Experience within property management, facilities management, hospitality, customer service or a similar environment.
  • Strong organisational and administrative skills.
  • Excellent communication and relationship-building abilities.
  • Customer-focused mindset with a proactive approach.
  • Good understanding of health and safety principles.
  • Proficiency in Microsoft Office applications.
  • Ability to prioritise multiple tasks and work independently.

Desirable

  • Experience within a commercial office environment.
  • IOSH Working Safely or equivalent qualification.
  • Knowledge of service charge management.
  • Understanding of building compliance requirements.
  • Experience working with CAFM or property management systems.
  • IWFM qualification or willingness to study towards one.
