Job Title: Assistant Executive Manager (Band 2)
Salary: Circa £40,000 (dependent on skill, knowledge and experience)
Contract Type: TfL Permanent / Full Time / Hybrid
Location: Southwark (including various TfL sites across London)

Hybrid working, within this role enables a balance of 50% of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements.

Overview of Role
Transport for London (TfL) plays a key role in shaping what life is like in London. Our transport infrastructure and public transport network is admired around the world. To meet the needs of our customers, now and for the future, we’re providing the modern and affordable transport network London needs. To support this, our multi-billion-pound programme to make our services more reliable, frequent and accessible includes introducing new trains, building and opening a new road tunnel under the Thames, and investing in congestion and air quality initiatives on our roads through our healthy streets approach.
Our finance function continues to evolve to ensure a sharp focus on TfL’s core business priorities. We’re doing this by building a strong Chief Finance Officer (CFO) team, integrating Finance, Technology Products and Operations (TP&O) and Procurement and Commercial to provide stronger strategic and commercial excellence across our business. Finance is central to TfL’s vision and values, progressing our strategy across the five themes of Safety and Security, Our Colleagues, Our Customers, Our Green Future and Our Finances.
We’re now seeking an Assistant Executive Manager to join our busy team.
The CFO Governance team is responsible for ensuring appropriate assurance and approvals around our commercial decisions take place within the Procurement & Commercial and Finance functions.
You’ll support the CFO Governance Managers in developing and implementing a range of business controls, standards, and new initiatives in relation to governance and assurance processes for CFO, put in place by the CFO Senior Leadership Team and Chief Finance Officer, ensuring that these processes deliver the required outcomes, and support effective decision-making by TfL’s Senior Leadership Team.
Key Accountabilities
Your duties will include, but not be limited to:
- Providing support on governance matters for a respective office area, working with other Executive Office role holders to deliver activities in a timely and effective manner, including servicing key decision-making forums and supporting accurate outputs to tight deadlines
- Accountable for the efficient co-ordination and maintaining of information, documents and records for the respective directorate or office including secretariat, minutes, decision logs and audit trails
- Responsible for supporting in the management and delivery of internal administrative processes within the directorate or office, including coordination of governance cycles, tracking approvals and business submissions
- Responsible for the ownership and improvement of effective systems for effective handling of work (e.g. trackers, workflows, action logs), internally and across directorate areas, ensuring compliance with management system rules
- Accountable for providing support to the office in facilitating engagement with internal and external stakeholders on matters impacting decision-making
- Accountable for supporting the office in preparing information for Business continuity planning and wider assurance activities
- Responsible for internal communications planning and delivery (in collaboration with Support Services) ensuring governance updates and decisions are clearly communicated
- Accountable for supporting activities which contribute to the success of TfL’s internal governance processes, this includes end to end meeting servicing, secretariat, action follow up, managing approval workflows, collating information for submissions in accordance with Boards, Panels and Committees and maintaining governance trackers to ensure visibility, control and audit readiness

- Excellent written and verbal communication skills, with the ability to produce clear, concise and high-quality minutes and documentation (Essential)
- Strong organisational skills, with the ability to manage multiple priorities and deadlines in a fast-paced environment (Essential)
- Flexible in providing support in varying activities across the office environment (Essential)
- Ability to build effective working relationships with colleagues across the organisation at all levels (Essential)
- Confident stakeholder engagement and good influencing skills in the context of engaging with internal and external stakeholders of varying complexity with the ability to coordinate, challenge and seek clarification where required (Desirable)
- Proactive and solutions-focused, with a strong “can-do” approach and the initiative to take ownership and drive tasks through to completion

Knowledge

Experience
- Experience supporting Executive Offices or directorates, including meeting servicing and coordination of papers and producing high quality minutes (Essential)
- Experience of engaging with internal and external stakeholders good understanding of governance processes, approval frameworks and organisational procedures (Desirable)
- Experience of working within a large and complex organisation with political considerations (Essential)
- Experience of engaging in internal queries/correspondence (Essential)
- Experience managing competing priorities and working within a high-volume administrative or governance environment (Essential)
- Exposure to procurement, financial or commercial processes (Desirable)
