Assistant, Facilities (FCS130)
Contract: 6-month fixed term contract, working 21 hours per week.
Salary: £28,662 per annum plus benefits including a final salary pension scheme and generous annual leave.
Location: Birmingham (office based)
We are seeking to recruit a highly motivated individual to join the Estates and Facilities Team, playing a key role in supporting the day-to-day operation of our Birmingham office and helping to deliver a safe, well-maintained and professional working environment for staff and visitors.
The main duties include:
- Providing a welcoming front-of-house facilities service
- Supporting meeting room set-up and office arrangements
- Raising purchase orders for facilities-related goods and services
- Maintaining accurate records for supplies, maintenance and compliance activity
- Monitoring stationery, office refreshments and other workplace supplies
- Managing incoming and outgoing mail
- Checking cleaning standards
- Logging planned and reactive maintenance tasks
- Reporting and following up building, equipment and maintenance issues
- Liaising with contractors and internal colleagues
- Contributing to health, safety and wellbeing across the office
- Communicating effectively at all levels, both face to face and by email
Timekeeping and reliability are essential, as the role supports the smooth running of the office and requires a visible facilities presence on site for 7 hours a day. Occasional work outside usual office hours may be required to support maintenance, contractor visits or building-related works; advance notice would be given wherever possible.
Key skills for this role include:
- Strong customer service and front-of-house skills, with the ability to support staff, visitors and contractors professionally.
- Good practical understanding of facilities, workplace services and day-to-day office operations.
- Ability to log, monitor and follow up planned and reactive maintenance tasks accurately.
- Awareness of health and safety requirements in an office environment, including safe working practices and reporting concerns.
- Good organisation and prioritisation skills, with the ability to manage competing tasks and respond to urgent facilities issues.
- Clear communication skills, both face to face and by email, with colleagues, suppliers and contractors.
- Attention to detail when maintaining records, supplies, purchase orders and facilities documentation.
- Reliable, proactive and flexible approach, with a willingness to support occasional out-of-hours works when required.
