About The Role

Be a key point of contact for colleagues, clients, and key stakeholders, ensuring a welcoming, professional, and efficient workplace environment. Responsible for facilitating minor moves and projects, managing enquiries, conducting facilities inspections, and supporting the management of supply chain partners and vendors.

Maintain customer satisfaction at the highest level by providing a high-quality and proactive service, ensuring all concerns are dealt with effectively and communicated accordingly. The role will add value to the FM provision and the customer experience through proactive management of tasks, projects, and issues.

Your Responsibilities Will Include

  • Workplace Facilities Inspections and Floor Walks: Conduct regular inspections of meeting rooms and office spaces, ensuring cleanliness, tidiness, and functionality.
  • Issue Reporting and Reactive Maintenance: Identify, report, and follow up on issues/defects related to furniture, fixtures, and equipment using the appropriate CAFM System, ensuring timely resolution. Collaborate with facilities teams to monitor and resolve issues in the workspaces.
  • Service Delivery: Instill an ethos of continuous improvement in service delivery, keeping the service delivery fresh and appropriate by quickly reacting to changes to business requirements.
  • Onboarding: Support space planning for the office and coordinate the setup for new employees, including updating seating locations, assisting with floor plan changes, and organising furniture moves.
  • Project Management: Proactively manage a wide range of tasks to ensure an efficient operation and delivery of requirements, ensuring these are completed on time and within budget.
  • Administration: Ensure accurate reporting and use of financial tools to provide insight to our client and internal departments.
  • Vendor Management: Hold regular meetings with vendors and building management to ensure best-in-class operations and continuous improvement. Review quotes and validate work to ensure timely payment and quality of work.
  • Coordination of On-Site Vendor Activity: Check vendor documentation upon delivery to guarantee accuracy, compliance with contracts, and adherence to safety regulations. Escort vendors into restricted areas of the workplace, ensuring compliance with company security protocols.
  • Compliance: Responsible for service and contract compliance, ensuring all services meet the Client’s requirements and standards. Undertake quality audits covering hard or soft services.
  • Deputise for the Account Manager as and when required.

About You

We are seeking a dynamic and proactive Assistant Facilities Manager to join our team, with experience in corporate working environments. This is a site-based role, working 5 days a week. The role also requires participation in an out-of-hours on-call rota.
