Assistant Facilities Manager

About The Role

We are looking for a highly organised and proactive Assistant Facilities Manager to join our friendly support team. This is an office-based role providing essential administrative and coordination support to ensure our care homes remain safe, compliant, well-maintained, and welcoming for our residents, visitors, and colleagues.

Working closely with the facilities team and our care home teams, you will help coordinate planned and reactive maintenance, manage contractor communications and maintain compliance records.

Key Responsibilities

  • Coordinate planned and reactive maintenance requests across multiple care homes.
  • Liaise with contractors to arrange visits, obtain quotations, and monitor completion of works.
  • Maintain accurate compliance records and facilities documentation.
  • Update facilities management systems and maintain accurate records.
  • Respond to enquiries from care homes and provide timely support.
  • Assist with reporting, audits, and departmental projects.
  • Help ensure maintenance issues are resolved efficiently and communicated effectively.

About You

We're looking for someone who is:

  • Highly organised with excellent attention to detail.
  • A confident communicator with a friendly and professional approach.
  • Experienced in administration within a facilities, property, maintenance, or similar environment (desirable).
  • Comfortable managing multiple priorities and meeting deadlines.
  • Proficient in Microsoft Office, particularly Outlook, Excel, and Word.
  • Able to work independently while being a supportive member of the wider team.
  • Committed to delivering excellent customer service to both internal and external stakeholders.
