Purpose of the Role
We deliver excellent customer service and ensure exacting standards of presentation and maintenance is delivered on each property we look after. We manage the safety, compliance, and operation of the property, developing positive occupier relationships and we work with Savills Management Surveyors in the delivery of a high-quality property management service for the benefit of Savills clients and occupiers.
Working with an award-winning workspace operator, General People that create personalised buildings in neighbourhood locations entirely designed for our people. Instead of delivering a homogenous product, we focus on creating unique buildings, tailored to their communities, offering bespoke options. Coupled with a rich community wealth-building program, our buildings activate their local areas, boosting the local economy.
Assisting with the day to day running of the property including supervision of site staff, contractors and ensuring the required standards are achieved and maintained at all times. Excellent communication skills are a requirement in this role.
Key Responsibilities
Working with the General Manager to:
- Ensure that the Savills Compass and associated building systems are up to date and complete at all times.
- All individual mandatory training is completed within the given timescales.
- Ensure that Monthly and Quarterly checklist are completed and uploaded on to Datastation within the appropriate time scales.
- Ensure that high site standards are achieved and maintained at all times.
- Ensure the best value is being achieved by analysing, auditing and proposing improvements to the existing property management systems in operation.
- Evaluate existing contractual relationships, and ensure that the occupiers are receiving best value.
- Manage and co-ordinate the full range of service charge recoverable services, ensuring compliance with specified standards, quality, time scale and cost objectives.
- Ensure agreed services are provided in compliance with lease obligations.
- Assist in the preparation of the annual service charge budget and manage to agreed time scales and costs.
- Prepare and implement contingency plans to ensure adequate and suitable site attendance, including cover for holidays, training and sickness.
- Production and co-ordination of information in line with Savills and client requirements.
- Create and maintain an effective working relationship with existing suppliers.
- Establish and implement best practice whilst ensuring safe working practices are complied with at all times.
- Ensure appropriate, clear communication lines are established and maintained.
- Carry out any other reasonable request of the General Manager, RFM or Property Surveyor.

Working alongside the site General Manager where needed to offer support in the following areas;
Safety & Security
- Ensure compliance with all client and Savills procedures and policies, including but not limited to health and safety, COSHH and environmental matters.
- Ensure compliance with all statutory requirements, codes of practice, and health and safety requirements.
Promotions/ Public Relations
- Establishing and developing good relations and partnerships with various authorities and local agencies, notably:
- Local authority
- Police
- Fire brigade
- Public transport providers
- Ensure that all promotional activities are carried out with due care and attention to the health safety and welfare of staff customers and occupiers.
- Establish and develop close working relationships with occupiers representatives and manage occupiers satisfaction, and confidence in Savills service delivery.
Work alongside General People
- To deliver on the General People Appointment - Community Engagement:
- Build relationships with occupiers on a first-name basis and understand their businesses and growth plans.
- Assist with move-in and move-out process, organise occupiers inductions and check-outs.
- Promote the company's Community Wealth Building Framework through programs, events, and partnerships.
- Act as the main point of contact for licence, IT, invoicing, and other occupier-related issues.
- Ensure excellent communication with tenants regarding news updates, issues, and events.
- To deliver on the General People Appointment - Sales and occupancy:
- Attend new business viewings and walk-ins, send proposals, negotiate terms with potential clients.
- Maintain occupier management software and update records.

Staff
- Establish effective site teams by having an involvement with successfully recruiting high calibre people, assisting with inducting, motivating and developing site staff to their full potential. Identify training needs.
- Conduct performance reviews (where applicable) in line with Savills policy and procedures identifying personal and skill based training requirements on an individual basis. Ensure that a training plan is identified and managed.
- As a member of the Savills Management team, manage and liaise with all management, technical and administration staff on strategic and operation/service delivery issues towards achievement of their goals.
Quality Assurance
- Adhere to all quality assurance requirements.
- Ensure compliance at all times with operational standards.
- The above is not an exhaustive list of duties and you will be expected to perform different tasks as necessitated by your changing role within the organisation and the overall business objectives of the organisation.
Skills, Knowledge and Experience
- An experienced individual with excellent experience of working and communicating with occupiers and fostering an already strong onsite relationship.
- Working with a dedicated site team and continuing supporting a one team ethos at the property.
- Understanding the workings of a multi let / service office commercial property, including as mentioned above – such as health & safety compliance/ budget drafting and review of spend/ contractor review and working to best practice.
- Champion teamwork and collaboration within the team and across the organisation.
- Ability to use full range of Microsoft applications inc. Word, Excel, PowerPoint, Outlook.
- Monitor the social impact of initiatives and measure them through KPIs.
- Innovatively retain the community and support their growth.
- Think through end-to-end processes to ensure successful execution.
- Demonstrate self-awareness and the ability to develop future leaders.
- Set challenging and motivating goals for the team.
Working Hours - 9am – 6pm (Mon-Fri)
Salary - £42,000
