Position: Management Assistant (Maternity Cover)

The Management Assistant plays a critical role in supporting the Global Head of IT and Global IT Directors in the day-to-day administration and operation of Global IT. This role provides high-level executive, administrative, and project support across a range of strategic initiatives, organisational development activities, and global projects.

Working within a fast-paced international environment, you will act as a trusted partner to senior leaders, ensuring priorities are effectively managed while maintaining the highest levels of professionalism, discretion, and confidentiality. You will serve as a key point of coordination between the Global IT team, BDO Member Firms, external partners, and Global Office stakeholders.

Key Accountabilities

  • Executive Support

    • Provide first-class executive support to the Global Head of IT and Global IT Directors, including preparing presentations, reports, correspondence, meeting materials, and confidential documentation.
    • Support and coordinate the daily activities and priorities of the Global Head of IT, acting as the primary point of contact for internal and external stakeholders.
    • Manage complex inboxes, including prioritising communications, drafting responses, filing correspondence, and ensuring timely follow-up.
    • Research, assess, and respond to sensitive and confidential issues on behalf of leadership, determining the most appropriate course of action.
    • Coordinate special projects and strategic initiatives, many of which may have organisation-wide impact.
    • Act as a liaison between Global IT, BDO Member Firms, and Global Office teams to ensure effective communication and timely responses.
    • Represent the Global Head of IT in communications and engagements as appropriate.
  • Meeting Management

    • Organise and support key Global IT leadership, Board, Partnership, and management meetings.
    • Prepare agendas, presentations, reports, schedules, and meeting packs for a variety of confidential and high-profile meetings.
    • Coordinate meeting logistics including room bookings, technology requirements, attendee management, and resource planning.
    • Attend meetings, workshops, and committees as required, taking accurate minutes and tracking actions to completion.
    • Manage complex agendas and action logs, ensuring timely follow-up and accountability.
    • Coordinate participants, facilitators, consultants, and stakeholders across multiple time zones and locations.
    • Maintain accurate and confidential records of meetings, projects, and governance activities.

  • Travel and Diary Management

    • Manage complex and constantly evolving executive calendars for the Global Head of IT and Global IT Directors.
    • Act as an effective gatekeeper, ensuring executive time is prioritised and aligned to strategic objectives.
    • Maintain annual calendars of events, reporting deadlines, meetings, and key activities.
    • Arrange domestic and international travel, including flights, accommodation, itineraries, visas, conference registrations, and related logistics.
  • Budget and Financial Administration

    • Process and reconcile monthly expenses and invoices.
    • Allocate costs to appropriate project codes and budgets.
    • Track approvals, expenditure, and payments while maintaining accurate financial records.
    • Support budget monitoring and reporting activities as required.
  • General Duties

    • Provide general administrative support including managing office supplies, visitors, correspondence, invoices, calls, and mail.
    • Support organisational change initiatives, projects, and programmes across the Global IT function.
    • Provide ad hoc assistance to the broader Global IT team when required.
    • Identify opportunities to improve processes, enhance efficiencies, and add value across the function.

Qualifications, Experience & Skills

  • Bachelor's degree or equivalent relevant professional experience.
  • Minimum of 5 years' experience supporting senior executives or C-suite leaders, ideally within a global professional services, technology, or financial services environment.
  • Exceptional written and verbal communication skills in English.
  • Outstanding organisational and planning skills with the ability to manage multiple priorities simultaneously.
  • Proven experience in extensive diary management, meeting coordination, and executive support.
  • Strong attention to detail and ability to work effectively under pressure.
  • Advanced proficiency in Microsoft Office applications and the ability to quickly learn new systems and technologies.
  • Highly proactive, responsive, solutions-focused, and forward-thinking approach.
  • Ability to work independently, use initiative, and identify opportunities to improve processes and support business objectives.
  • Demonstrated experience handling highly confidential information with discretion and professionalism.
  • Excellent stakeholder management and relationship-building skills.
  • Strong analytical and problem-solving abilities.
  • Immaculate professional presentation and commitment to delivering exceptional service.
  • Collaborative team player who thrives in a global environment.
  • Understanding of the complexities associated with supporting international teams and leadership.
  • Willingness and ability to travel as required.
