Assistant Office Manager

Trefoil is all about finding friendship, giving support, getting involved and getting active. Our members enjoy taking the community spirit of guiding and scouting into the wider world. Although we are part of the Girlguiding family, we are a separate charity and are independently administered and financially self-supporting. At national level, we have a board of trustees, all of whom are volunteers, who meet regularly throughout the year. Major decisions and activities of our organisation are made and carried out by volunteers and our board of trustees. The Trefoil office team support the board of trustees and the wider organisation in the management and coordination of Trefoil administration.

We're looking for an assistant office manager to join our team. Working as a member of the Trefoil office team, and providing cover as required for the office manager, you'll provide general administrative support to the Trefoil Guild and its trustees. This may include, but is not limited to; meeting notes or minutes, preparation and logistical support for a range of events, trainings and the processing payments to ensure the smooth and efficient running of the Trefoil Guild. You'll also ensure accurate, reliable and efficient processing and reconciliation of financial transactions, including all banking, recharges, credit card, grants, investments and subscriptions, ensuring all processes related to the role are accurately documented and approved.

Key Responsibilities

  • Provide general administrative support to the Trefoil Guild and its trustees
  • Prepare and logistical support for events, trainings, and meetings
  • Process payments to ensure smooth and efficient running of the Trefoil Guild
  • Ensure accurate and efficient processing and reconciliation of financial transactions
  • Take meeting notes and minutes to a high standard

Requirements

  • Self-motivated with an ability to prioritise
  • Previous experience of working with accounting packages and financial management information systems including bank reconciliations
  • Good written and verbal communication skills

About the Role

Trefoil Guild operates a hybrid working arrangement where office based staff are required to attend the office on average three days a week, or 60% of working time across the year. Location allowance is payable to those who work in accordance with our hybrid working model. We’re committed though to supporting our staff to achieve a good work-life balance and offer flexible working options wherever we reasonably can. All staff are required to carry out our online health and safety training and complete a DSE risk assessment to ensure we can provide the support you require.
