Our client is a fast-growing Energy Trading business based in London and forms part of one of Europe's leading energy utility groups.

This is an excellent opportunity to join a highly successful international trading organisation in a newly established London office of approximately 120 employees. The successful candidate will enjoy a highly competitive salary, generous holiday allowance and the opportunity to play an integral role within a collaborative, professional and rapidly expanding business.

This is far more than a traditional reception or front-of-house position; as you will be based in the heart of the office and not on reception. You will, however, remain as the first point of contact for employees, clients and visitors, and you will be responsible for creating an exceptional workplace experience whilst supporting the smooth day-to-day operation of the office.

Acting as a key liaison across multiple departments, you will work closely with internal stakeholders, external suppliers and colleagues within the German parent company to ensure the office operates efficiently and professionally at all times.

KEY RESPONSIBILITIES:

  • Provide support to the day-to-day management of the office
  • Act as a central point of contact between Office Management, IT, Facilities and internal teams – including close collaboration with colleagues in Germany.
  • Manage access control system and work closely with building's front of house and security team.
  • Coordinate all office-related onboarding and offboarding activities.
  • Manage reception and meeting rooms and provide outstanding customer service to clients, guests and employees.
  • Coordinate meetings, catering, and events.
  • Monitor supplies and re-order as needed.
  • Keep seating plan up to date and assist with internal office moves and workspace changes.
  • Support vendor and service provider coordination.
  • Assist with office administration and documentation to ensure compliance with internal standards and local requirements.
  • Cover for the Office Manager as and when required.

SKILLS & EXPERIENCE:

The successful candidate will be a proactive, highly organised and service-focused professional who enjoys working in a fast-paced, international environment.

You will ideally possess:

  • A minimum of three years' experience within an Office Coordinator, Junior Office Manager, Executive Assistant/Team Assistant or similar office support role; covering reception/front of house duties, facilities/vendor management and onboarding/offboarding duties.
  • Previous experience working within a corporate or professional services environment is essential.
  • Excellent communication and interpersonal skills, with a confident and professional approach.
  • Outstanding organisational and multitasking abilities, with the capacity to manage competing priorities.
  • Strong proficiency in Microsoft Office 365 and confidence using a variety of workplace technologies.
  • Excellent attention to detail with a structured, process-driven approach to work.
  • A reliable, proactive and adaptable attitude, with the ability to build effective working relationships at all levels.
  • The ability to remain calm under pressure whilst maintaining a consistently high standard of service.
  • Experience working within an international or multicultural organisation would be advantageous but is not essential.
