Summary
Regency Facilities Management is seeking an Assistant Operations Manager to support the effective delivery and continued development of our facilities management services across Scotland.
Working closely with and reporting to the Operations Manager, the successful candidate will help manage existing client relationships, support supervisors and operational teams, monitor service standards and assist with day-to-day employee-management matters.
The role will also support the development of existing client accounts and help identify suitable new facilities management opportunities. This is a hands-on position combining site-based operational support, people management, client service and business development.
What You'll Be Doing
- Supporting the Operations Manager with the day-to-day delivery of facilities management services across Scotland, with a current focus on commercial cleaning.
- Acting as an additional point of management support for supervisors and operatives, providing clear instructions, guidance and assistance.
- Helping maintain strong relationships with existing clients through regular communication, site visits, review meetings and the prompt resolution of service issues.
- Monitoring service standards, client requirements, KPIs and contract performance, escalating concerns and helping implement corrective actions.
- Carrying out regular quality audits, site inspections and performance reviews to ensure services are being delivered safely and to the required standard.
- Supporting the recruitment, induction, training and ongoing development of supervisors and operational employees in conjunction with the Operations and HR teams.
- Managing day-to-day employee matters including rotas, holiday cover, staffing levels, attendance, conduct and performance.
- Carrying out workplace investigations and supporting disciplinary, grievance, absence and performance-management processes in accordance with company procedures and with guidance from HR.
- Providing operational management cover and supporting decision-making when the Operations Manager is unavailable or attending other sites.
- Assisting with the monitoring of labour costs, materials, consumables, contract budgets and profitability, highlighting issues and supporting appropriate corrective action.
- Monitoring the availability and condition of stock, equipment, vehicles and consumables to support efficient service delivery.
- Investigating client complaints, service failures and audit findings, agreeing corrective actions and monitoring them through to completion.
- Preparing clear service and contract-performance updates for clients, the Operations Manager and senior management.
- Promoting safe working practices and ensuring employees follow company procedures, client requirements and relevant health and safety controls.
- Supporting the planning and mobilisation of newly awarded contracts, including staffing, equipment, training, documentation and client communication.
- Identifying opportunities to improve service delivery, retain existing clients and introduce additional facilities management services where appropriate.
- Supporting business-development activities, including researching prospective clients, attending meetings and site surveys, and contributing to quotations, pricing proposals and tender submissions.
- Undertaking other reasonable operational and management duties consistent with the level and responsibilities of the position.

Skills needed
- Previous experience managing facilities management, commercial cleaning or other service-based contracts.
- Strong leadership and people management skills, with experience supporting operational teams.
- Commercial awareness, including the ability to monitor labour, materials and contract costs.
- Excellent communication, client relationship and customer service skills.
- Ability to organise workloads and prioritise the needs of multiple contracts.
- Experience carrying out quality audits, site inspections and performance reviews.
- Confident using Microsoft Office and digital job management systems.
- Full UK driving licence.
- Right to work in the UK.
- Ability to pass vetting where required for secure client sites.

The position would be based at the Ayr office and worked over 37.5 hours, Monday to Friday. It would include regular travel to client sites across Scotland, with company vans available for business travel. Some flexibility outside normal working hours may occasionally be required for operational issues or new contract mobilisations.
