Assistant Performance & Workflow Manager
Equans is looking for an Assistant Performance & Workflow Manager to join our team based at Pinderfields Hospital on a permanent basis. This is a full-time role working 37.5 hours per week. On offer is a competitive salary, bonus, and benefits package.
Role Overview
The Assistant to the Performance & Workflow Manager will provide essential administrative, analytical, and coordination support to ensure the smooth operation of performance monitoring, workflow management, and compliance reporting across the Pinderfields and Pontefract Hospital contract. This role is ideal for someone with strong organizational skills, attention to detail, and a proactive approach to supporting service excellence. In the absence of the Performance & Workflow Manager, the Assistant will be expected to deputise and ensure continuity of service delivery. This includes leading team meetings, overseeing the preparation and distribution of performance reports, maintaining oversight of KPIs and service compliance, coordinating with internal and external stakeholders, and ensuring that all workflow and administrative processes continue to operate smoothly. The Assistant will also act as the primary point of contact for performance-related queries and escalate issues as necessary.
Key Responsibilities
- Assist in compiling daily, weekly, and monthly performance reports.
- Support the tracking of KPIs and service failure points.
- Help prepare documentation for client audits and monthly meetings.
- Maintain accurate records of planned and reactive tasks using CAFM systems (e.g., Maximo).
- Support the Compliance, Workflow, and Business Support teams with documentation and coordination.
- Assist in the development and review of operational processes and action plans.
- Liaise with internal teams and external stakeholders to gather data and updates.
- Schedule and coordinate meetings, walkarounds, and customer satisfaction surveys.
- Draft communications and updates for the wider team.
- Maintain filing systems and ensure all compliance evidence is up to date.
- Support the preparation of presentations and reports for senior management and clients.
- Assist with the implementation of company initiatives and performance improvement plans.

About You
- Training in compliance, health & safety, or facilities management (advantageous).
- NVQ Level 3 in Business Administration or similar (preferred).
- Experience in an administrative or coordination role, ideally within facilities management or a healthcare environment.
- Strong IT skills, particularly in Microsoft Excel, Word, and PowerPoint.
- Familiarity with CAFM systems (e.g., Maximo) and reporting tools is desirable.
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and meet deadlines.
- Good knowledge and experience in service delivery.
- This role includes a Basic DBS check therefore ability to pass is essential.
