Description
We are seeking a forward thinking and collaborative Assistant Producer to coordinate the operational delivery of radical and connective programmes which support the next generation of creatives to develop critical consciousness and confidence. We are creating the conditions for regenerative futures, this role will be pivotal in delivering equitable, innovative programmes which enable more young people to thrive as artists, makers, entrepreneurs, and cultural leaders. Our creative pedagogy aims to amplify youth voice and enable new narratives where young people become agents of change rather than passive recipients.
You will coordinate, support the delivery and continuous improvement of Upgrade Yourself Festivals, Takeovers and Monthly Sessions. You will collaborate with the team to feed into our Upgrade Yourself Digital Series and support elements of Paul Hamlyn evaluation programme.
You will collaborate with the Inclusive Talent Engagement Producer to draw from the energy and expertise of Somerset House’s creative community, Somerset House’s cultural programme and the wider sector to shape programmes that are accessible, relevant and culturally responsive. You are passionate about the leadership and lived experience of young people and hold equity as a core value within your work. You are passionate about collecting impact measurements to ensure programmes remain evidence-led, and responsive to the needs of underrepresented young people.
You will have excellent organisational skills, strong attention to detail and be confident in managing a wide and varied operational workload. You are a confident team player and strong collaborator, with a proactive approach to your work along with an adaptable and solutions focused mindset.
What we are looking for:
Programming and Collaboration
- Collaborate with the Producer to plan a distinctive programme arc across Upgrade Yourself Monthly sessions, Takeovers and Festivals.
- In time, take ownership of the Upgrade Yourself Monthly Programme, collaborating with the Producer to curate a programme which aligns with our commitment to regenerative practice and critical consciousness.
- Maintain quality and timely communication with delivery partners, gathering relevant information for delivery including planning documents, contracts and financial processing information.
- Work collaboratively with colleagues across Exhibitions, Studios, and Makerversity to ensure the programmes are planned, designed and delivered to the highest standards.
Logistics, Operations and Delivery
- Lead the end-to-end operational and logistical coordination of programme delivery, preparing production schedules and conducting pre-event briefings and post-event debriefs to ensure shared understanding and high-quality delivery.
- Lead on the organisation of Visitor Experience, Security, Technical, Facilities support, catering providers and other internal teams to ensure venues, equipment, catering, and materials are confidently in place.
- Book and maintain accurate information in Somerset House’s scheduling system (DIESE) and internal planning tools (Asana).
- Confidently use the Trust CRM system (Tessitura) to effectively manage participant records and re-engagement data to allow the team to confidently report to funders.
- Anticipate and address delivery-related risks and challenges, maintaining proactive communication and solutions focused problem-solving throughout.
- Provide hands on support at events, including space set up, live delivery support, troubleshooting and pack-down. This will include working evenings and weekends where required (with time off in lieu, in line with organisational policy).

Finance and Contracts
- Maintain precise financial procedures, ensuring suppliers are set up, POs raised, invoices processed on time, and credit card and petty cash expenses accurately recorded.
- Complete and upload contracts for contributors using Docusign.
Record Keeping and Evaluation
- Support the coordination of evaluation tools (e.g. surveys, feedback forms), consistently collating data and insights to inform programme development and accurate reporting.
- Support the team to embed learning from evaluations, debriefs, and stakeholder feedback into future planning.
- Support the department to maintain rigorous records, ensuring planners, databases and trackers are consistently maintained across planning, finance, and evaluation.
Marketing, Comms and Stakeholder Liaison
- Coordinate marketing timelines and collaborate with internal teams to support programme launches and campaigns.
- Update the Upgrade Yourself website pages as and when Takeovers, Monthlies and Festivals are announced.
- Collaborate with Live Events, Exhibitions and Commercial Events teams to secure enrichment tickets and with the Tessitura team to create ticketing codes in Tessitura.
Partnerships, Outreach and Community Engagement
- Support the department find and build new partnerships with community groups, schools, and grassroots organisations, identifying opportunities for collaboration and targeted outreach.
Continuous Improvement
- Contribute to consistently high-quality, inclusive programme delivery by championing best practice in coordination, safeguarding, equity, and access.
Skills, knowledge & expertise required for the role:
Experience:
- Has a proven track record of coordinating high-quality creative learning or youth engagement programmes for 16–30-year-olds, ideally within or linked to the creative sector.
- Is highly organised, reliable and comfortable managing multiple tasks and deadlines with the ability to highlight issues and propose logistical, operational and financial solutions.
- Has experience of working in complex programme delivery in a high-volume environment with the ability to manage multiple work-streams confidently.
- Has experience providing high-quality operational and logistical support to a busy team, including diary management, minute-taking, document preparation, room bookings, event set-up and pack-down, and live event delivery.
- Is experienced in managing financial processes (e.g. purchase orders, invoices, expenses, petty cash, budget trackers).
- Has experience collecting and maintaining data within CRM systems or databases, with a high level of accuracy and attention to detail.
- Demonstrates sound judgement when handling sensitive participant and programme information, ensuring compliance with GDPR, confidentiality requirements and organisational procedures.
- Has an understanding of safeguarding and pastoral support within youth work, learning, participation or community settings.
- Has knowledge or experience of community organising, cultural programming, youth work or social justice-oriented education.

Skills:
- Demonstrates strong planning, administration and IT skills, including proficiency in Microsoft Office and other planning, budgeting and booking systems.
- Communicates clearly and effectively in writing and verbally, with the ability to build and nurture strong working relationships with a diverse range of internal and external stakeholders.
- Maintains up-to-date knowledge of the creative industries and demonstrates a commitment to delivering programmes that are relevant and responsive to youth culture.
- Demonstrates a strong commitment to equity, anti-racism and access, with practical experience of applying these principles in programme delivery.
- Works collaboratively to support ideas, initiatives and projects led by others, bringing strong problem-solving skills, a flexible and pragmatic approach, and a commitment to continuous learning and reflective practice.
