This position supports engineering and construction projects by assisting the Project Manager and the commercial project team with administrative project information as requested.

Responsibilities:

  • General administrative support for company projects, primarily focusing on the commercial function requirements.
  • Organise and maintain project files, filing system and project communications as required by the commercial function.
  • Provide data entry for the commercial function, inclusive of financial tools.
  • Track the status of projects and produce monthly internal reports. Maintain the tracking system as required by the commercial function.
  • Maintain and expedite the accounts payable.
  • Provide information to facilitate questions regarding projects and prepare research information as directed by the commercial function.
  • Produce and support the commercial function in required memos, correspondence, reports and other documents as requested.
  • Coordinate and develop the business procedures and process maps as required to interface with the commercial function.
  • Assist with Work Breakdown Structure for tracking the breakdown of purchase orders and subcontracts.
  • Assist with quality assurance on data and information for the project financial deliverables, including entering changes on cost reports.
  • Expediting of Supplier requirements to support finance and commercial resources.
  • Assist in clerical needs on projects, including project change orders and budget tracking.
  • Maintain data entry of project reports for both finance and the QS resources.
  • Performs other duties as assigned.
  • Complies with all policies and standards.

Qualifications:

  • Bachelor Degree in business, accounting or related degree Required or
  • Higher National Diploma and 1 year of experience Required or
  • General Certificate of Secondary Education and 3 years related experience Required
  • Experience with one or more cost management systems preferred.
  • Ability to work independently, think creatively and analytically and make quick and sound decisions.
  • Strong problem-solving skills.
  • Strong organizational skills, attention to detail, verbal and written communication skills and ability to handle multiple tasks.
  • Demonstrated ability to communicate with all levels within an organization.
  • Ability to track and follow up on multiple items with various timelines.
  • Excellent verbal / written communication skills.
  • Knowledge of Microsoft Word, Excel, Adobe and/or Bluebeam, and PowerPoint is required.
  • Basic knowledge of SharePoint, customer relationship management software and Microsoft Teams preferred.
