Hybrid working within this role enables a balance of 50 per cent of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements.

Overview Of The Role

This is not a general administration role. We are looking for a highly organised, technically capable and resilient individual with proven experience supporting governance, compliance, investigations, risk or business improvement activities within a complex organisation.

You will be responsible for managing critical safety governance processes, maintaining accurate records, producing high-quality reporting and driving improvements to systems, workflows and processes. The successful candidate must be comfortable working independently, managing competing priorities and engaging with senior stakeholders in a fast-paced and often challenging environment.

This role will suit someone who enjoys governance, data input and management, process improvement and who has strong IT literacy, with technical aptitude for Microsoft 365 and business systems.

Key Accountabilities

  • Lead the administration and governance underpinning incident investigation activities and actively conduct corrective action tracking.
  • Support senior stakeholders with reporting, governance meetings and compliance activities.
  • Develop, maintain and improve document templates, governance processes, workflows, reports and related guidance material, using a range of MS apps.
  • Create and maintain SharePoint sites, document libraries and collaborative workspaces.
  • Ensure investigation records and evidence are maintained accurately and confidentially.
  • Drive continuous improvement initiatives across investigation systems and governance processes.
  • Challenge stakeholders (including senior roles) appropriately to ensure actions are delivered within agreed timescales.

Essential Skills, Knowledge & Experience

  • Significant experience of working in a highly-regulated environment, with focus on governance, compliance, risk, investigations, audit or business support
  • Advanced Microsoft 365 skills, including Excel, Word, PowerPoint, Teams, OneDrive and SharePoint.
  • Experience developing and maintaining SharePoint sites, document libraries and process documentation.
  • Strong analytical capability with experience using Power BI, reporting tools or performance dashboards.
  • Proven ability to manage large volumes of information with exceptional accuracy and attention to detail.
  • Demonstrable ability to plan, prioritise and manage multiple deadlines without close supervision.
  • Strong stakeholder management skills with experience dealing with conflicting priorities and challenging conversations.
  • Excellent written communication skills, including drafting reports, governance papers and formal documentation.
  • Ability to work independently, identify issues proactively and implement solutions without being directed.
  • High levels of resilience, professionalism and judgement when handling sensitive or confidential information.

Applications Are Particularly Encouraged From Candidates Who Can Demonstrate

  • A track record of self-starting and resilient attitude when handling challenges
  • Experience supporting investigation, assurance, governance or recommendation-tracking frameworks.
  • Experience working with senior managers, subject matter experts and governance boards.
  • Experience operating within complex organisations where accuracy, governance and stakeholder management are critical to success.

Please note: This role is unlikely to suit candidates whose experience is primarily general administration, customer service or routine office support. We are seeking individuals with strong governance, systems, reporting and process improvement experience who can add value from day one.
