UTA Seeks an Assistant
UTA seeks a driven and inquisitive Assistant to join our dynamic team supporting UTA UK, Curtis Brown Group and Roof on an initial 6-month contract. You'll thrive here with a keen understanding of corporate structures and industry titles, coupled with sharp business acumen within the exciting world of media and entertainment.
As an Assistant, you'll provide high-quality operational and administrative support to the Talent Acquisition team, ensuring a seamless recruitment process for candidates, hiring managers and interviewers. You'll play a key role in coordinating interviews, managing recruitment administration and supporting the smooth running of recruitment operations across the business.
Reporting to the Director, Talent Acquisition, this role requires exceptional organisation, attention to detail and the ability to manage multiple priorities in a fast-paced environment.
What You Will Do
- Coordinate and schedule interviews, ensuring a smooth and efficient interview process for both candidates and hiring managers
- Monitor interview & requisition processes in our recruiting ATS system (Ashby) & HR system (Workday).
- Support Talent Acquisition within the early talent space to help advance an inclusive workforce.
- Develop and execute a tailored job posting strategy for each assigned role
- Proactively build talent pipelines for future hiring needs and maintain relationships with potential candidates
- Respond to feedback from recruiters and hiring managers, adjusting strategies as necessary to meet departmental goals
- Create lists of target companies and potential candidates for ongoing and future searches
- Support candidates, hiring managers, and recruiters in the onboarding process, ensuring an overall positive onboarding experience. This includes collaborating with internal teams on logistics such as desktop support, compliance, and HR operations considerations.
- Support recruitment reporting, projects and continuous improvement initiatives.
- Ensure all recruitment activity is completed accurately and in line with company policies and compliance requirements.
- Contribute flexibly across Talent Acquisition activities and projects in line with evolving business needs.
- Stay updated on industry news and trends, especially those impacting recruitment

What You Will Need
- Minimum of 12-18 months of experience in recruiting coordination, HR operations, or a related administrative support role
- Experience in maintaining data accuracy within our ATS; we use Ashby
- Exceptional verbal and written communication skills
- Demonstrated ability to apply creative approaches to business challenges
- Excellent communication skills - both written and verbal
- Must thrive in a collaborative environment and be able to work effectively with team members across different departments
