Job Description

The Wall Group is looking for a highly organised, proactive and detail-oriented Assistant to support a Managing Director in our London office.

This is a fast-paced role supporting a senior leader within the business and requires someone who can confidently manage competing priorities, anticipate needs and communicate professionally with artists, clients, internal teams and external partners. The successful candidate will have a strong interest in fashion, beauty, entertainment and talent representation, alongside excellent organisational and communication skills.

Key Accountabilities

  • Provide day-to-day administrative and operational support to the Managing Director
  • Manage a busy and ever-changing diary, including scheduling meetings, calls and appointments
  • Secure, coordinate and record daily artist bookings
  • Manage and maintain artist schedules, ensuring all relevant parties are kept up to date
  • Act as a key point of contact for artists, clients and external partners
  • Coordinate domestic and international travel, including flights, accommodation, ground transportation and itineraries
  • Prepare estimates, deal memos and other booking documentation
  • Support the financial administration of bookings, including billing, job reconciliation and wrapping jobs
  • Organise, maintain and update electronic databases and artist information
  • Manage incoming calls, emails and correspondence, prioritising and escalating where appropriate
  • Coordinate meetings and prepare relevant information and materials in advance
  • Liaise closely with colleagues across The Wall Group and the wider WME business
  • Anticipate the Managing Director's needs and proactively resolve scheduling or operational issues
  • Handle highly confidential and sensitive information with discretion
  • Support additional projects and general administrative tasks as required

Required Qualifications

  • Previous experience in an assistant, coordinator or administrative role, ideally within fashion, beauty, entertainment, talent, media or another fast-paced creative environment
  • A demonstrated interest in the business of fashion, beauty, celebrity and talent representation
  • Excellent written and verbal communication skills
  • Strong attention to detail and a high level of accuracy
  • Outstanding organisational and time-management skills, with the ability to manage multiple priorities simultaneously
  • Ability to work effectively in a fast-paced environment and remain calm and professional under pressure
  • A proactive approach with the ability to anticipate needs and stay one step ahead
  • Comfortable communicating with a wide variety of people by telephone, email and in person in a friendly and professional manner
  • Ability to prioritise effectively and meet tight deadlines
  • Sound judgement and the ability to handle confidential information with discretion
  • Resourceful, adaptable and solutions-focused
  • A high level of professionalism when representing the Managing Director and the wider business

Working Conditions

  • This is a permanent position
  • The role is based in our London office at The Strand
  • Working hours are 9:30am–6:00pm, Monday to Friday
  • Due to the nature of the role, some flexibility outside of standard working hours may occasionally be required
  • Occasional travel and weekend work may be required
