The Associate Administrator Role
We’re looking for an experienced and highly organised administrator to join our team. This is a varied role that sits at the heart of the business, supporting our projects, clients, and wider team. You’ll have the opportunity to become a key part of the admin team, working across projects, clients, events, and business operations. We have a structured career development pathway, with opportunities to progress to the next level.
The ideal candidate will be someone with proven organisation and problem-solving skills and someone who makes things happen. We are looking for a strong administrator with excellent coordination experience who thrives in a fast-paced environment and enjoys managing multiple priorities. The role requires someone with excellent attention to detail, who takes pride in getting things right. To succeed in this role, you must be happy to roll up your sleeves, take on new tasks in an ever-developing role, and support the wider team when needed.

We’re looking for someone who can hit the ground running and get up to speed quickly. If you’re an experienced administrator who enjoys a challenge, has a sharp eye for detail, and takes satisfaction from making sure everything runs smoothly, we’d love to hear from you.
Core Qualifications
- Proficiency in Microsoft Office – a solid grasp of Word, Excel, PowerPoint, Outlook, are essential for document handling, diary management, visa applications, reporting, and scheduling
- Calendar and Scheduling Management – organising appointments and events, meetings, travel for teams requires effective calendar coordination and time-blocking skills; scheduling and coordinating business projects, ensuring timelines, resources, and key dates are carefully managed
- Virtual Meeting Proficiency – comfort with Zoom, Teams, or equivalent platforms is important for hybrid or remote meetings
- Project Coordination – organising and coordinating internal and external events, training courses, meetings, and roadshows, from initial planning through to delivery
- Attention to Detail – preparing and sending confidential documentation and business proposals to clients, with a high level of accuracy and discretion
- Communication Skills – clear written and verbal communication to interact with colleagues, vendors, and senior management
- Organisation and Prioritisation – ability to manage multiple tasks, deadlines, and schedules while keeping a high level of accuracy
- Problem-Solving and Critical Thinking – quickly addressing issues, foreseeing potential obstacles, and finding effective solutions
- Discretion and Confidentiality – handling sensitive information responsibly is fundamental for trust and compliance
- Adaptability and Team Collaboration – ability to work autonomously while supporting the wider team dynamic in an office environment; liaising with internal teams to coordinate project requirements and keep everything running smoothly

Education and Experience
Minimum 5 years’ experience working in administrative or similar roles. Previous experience in a busy administration.
Competitive Salary and Benefits Package
The annual base salary range for this position is £30 to 33k. Compensation is based on the candidate’s qualifications and experience. IPA offers health and wellbeing support (private healthcare, dental, optical, and employee assistance programme), discretionary annual quality/profit share bonus, enhanced holiday entitlement with length of service, company pension scheme, great progression opportunities, free onsite parking, and shuttle bus to and from Reading Station.
