Purpose of Job

The Associate, HROD Portfolio Management Office (PMO), supports the coordination and delivery of PMO activities across HROD transformation and change initiatives. The role applies strong multi-process understanding to help maintain effective portfolio governance, planning, reporting, risk and dependency management, working independently on standard and moderately complex tasks within agreed frameworks and guidance.

The role holder coordinates inputs from project teams and relevant stakeholders, interprets established PMO standards and applies judgement to resolve day-to-day delivery issues or escalate where required. They contribute to improving PMO processes, tools and ways of working, provide practical guidance to more junior colleagues where appropriate, and deliver high-quality outputs that support effective decision-making and improved team performance.

Accountabilities and Responsibilities

Support and enhance the PMO

  • Coordinate agreed PMO activities and support the refinement of PMO objectives, standards and ways of working
  • Maintain interfaces and engagement channels with key stakeholders, ensuring inputs are captured, tracked and followed up
  • Map and document PMO processes to support consistent delivery and identify opportunities for improvement
  • Develop, maintain and improve PMO templates, tools and guidance for use by project teams and stakeholders

Run the PMO

  • Coordinate regular PMO rhythm and governance activities including:
    • Periodic roadmap planning sessions
    • Risk & issue review meetings
    • HRMT update briefings
    • HR Steering Committee meetings
  • Provide practical day-to-day guidance to project team members and more junior colleagues on PMO tools, processes and reporting expectations
  • Management and tracking of all actions arising from regular PMO sessions
  • In collaboration with the HROD Finance Manager, track and maintain funded project budgets

Stakeholder Management and Communications

  • Prepare clear and accurate updates for senior stakeholders, highlighting key insights, risks, issues and dependencies for review and decision-making
  • Support targeted change communications in partnership with the HROD Communications Lead, ensuring messages are accurate, timely and aligned to agreed plans
  • Continually assess and deliver on requirements for additional communications or changes in existing communications

Governance of the Solution Change Process

  • Liaise with the relevant stakeholders as required to ensure communication and prioritisation of outstanding system enhancement requests, balanced against the Compass HR programme
  • Work with the HR Technical Lead to identify any dependencies or potential duplication of effort between the Solution Change Process and the Compass HROD Programme
  • Liaise with change-related stakeholders to manage expectations and maximise transparency of the process as needed

Management of lifecycle artefacts

  • Review and refine existing fortnightly status report tooling
  • Engagement with Enterprise PMO (EPMO) to align PMO approach
  • Support development and delivery of stage gate materials as required

Support planning and roadmap management

  • Maintain the HROD Transformation Roadmap, ensuring updates are accurate, complete and aligned with agreed programme information
  • Engage regularly with HROD project managers to review progress against plans and identify portfolio impacts, dependencies and delivery risks
  • Support quarterly roadmap planning sessions by gathering inputs, consolidating milestones and dependencies, and preparing materials for review

Knowledge, Skills, Experience & Qualifications

Essential

  • Can-do, excellence-by-default attitude
  • Above average organisational, interpersonal and communication skills
  • Exceptional attention to detail
  • Self-starting, proactive and collaborative approach to analysing and solving problems
  • Experience working in a programme, project or PMO environment, supporting delivery across multiple processes or workstreams
  • Experience of developing and delivering high quality and impactful visual, verbal and written communication
  • Experience working across departmental boundaries, particularly with Finance and IT
  • Experience of communicating and working collaboratively with colleagues at all levels of the organisation to deliver sustainable change
  • Ability to prepare high-quality information for senior stakeholders, applying judgement to interpret guidance and identify issues requiring escalation
  • Experience of working independently and proactively within tight deadlines
  • Excellent attention to detail, particularly in the context of document development and data analysis
  • Proven ability to coordinate competing priorities, track actions and deliver accurate outputs to agreed deadlines
  • Excellent written and oral English language skills
  • Bachelor degree or equivalent experience
