Job Title: Associate Office Coordinator
Location: Canary Wharf
Department: Lettings
Reports To: Branch Manager / Regional Office Coordinator
About The Role
We are looking for an experienced and highly organised Associate Office Coordinator to support the smooth running of our Sales & Lettings operations across one or two busy offices.
This is an excellent opportunity for someone with strong property administration experience who enjoys coaching and supporting colleagues, improving processes, and ensuring consistently high operational standards. You will act as a key point of support for branch teams, helping to maintain compliance, efficiency, and exceptional customer service.
Key Responsibilities
Operational Excellence & Consistency
- Ensure administrative processes and procedures are applied consistently across supported offices.
- Promote best practice in documentation, CRM management, and customer service delivery.
- Support offices in maintaining high operational, compliance, and service standards.
- Assist with the implementation of new systems, processes, and regulatory updates.
Coaching & Team Support
- Coach and mentor Office Coordinators and Senior Coordinators, helping to develop their skills, confidence, and performance.
- Share knowledge, guidance, and practical solutions to operational challenges.
- Provide additional support during busy periods or when operational issues arise.

Property Administration
- Maintain an in-depth knowledge of property portfolios across supported offices, including:
- Access arrangements
- Key locations
- Occupancy status
- Special property requirements
- Ensure accurate information is maintained to support viewings, marketing activities, compliance requirements, and customer service.
Stakeholder Collaboration
- Act as a key link between branch offices and regional or head office teams.
- Support effective communication, reporting, and feedback across departments.
- Build strong working relationships with colleagues at all levels.
Essential Skills & Experience
- Strong operational knowledge of sales and/or lettings administration.
- Previous experience supporting, coaching, or mentoring colleagues.
- Excellent organisational skills and attention to detail.
- Strong understanding of compliance and administrative best practice.
- Ability to work confidently across multiple teams or locations.
- Excellent communication and problem-solving skills.
