Role Description

Working closely with the surveying team, the Executive, Surveyor Allocations is responsible for booking and coordinating property inspections for existing commercial clients. The role manages surveyors’ inspection diaries, coordinates appointments efficiently across the UK, liaises with clients and internal stakeholders, and ensures the relevant documentation and information are available to support the surveying team.

Key Responsibilities:

  • Proactively book surveyor inspections for existing commercial clients by telephone and email.
  • Manage multiple surveyors’ diaries, ensuring appointments are organized geographically to maximize surveyor productivity and that appointment details are communicated accurately.
  • Collect relevant supporting documentation from clients to support the delivery of services and maintain accurate client records.
  • Gather client health and safety requirements for surveyors and update spreadsheets and internal records as required.
  • Communicate with clients and surveyors, both verbally and in writing, providing a high standard of client service.
  • Manage client expectations and respond to initial queries, ensuring clients understand the inspection process and relevant timescales.
  • Build and maintain positive working relationships with clients, surveyors, and internal stakeholders.
  • Support client retention matters, liaising with the Surveying team and other internal departments to help achieve the best outcome for the client.

  • Excellent verbal and written communication skills.
  • Ability to explain complex information clearly and concisely.
  • Previous experience building and maintaining client relationships is preferred.
  • Ability to multitask and meet strict deadlines.
  • Excellent relationship-building skills.
  • Strong attention to detail.
  • Proactive, positive, and organized approach to work.

Computer Skills:

  • Good knowledge of Microsoft Office applications, including PowerPoint, Excel, Outlook, and internet applications.
