What You’ll Be Doing

As our Associate Talent Coordination Specialist you’ll:

  • Sit at the centre of our hiring process, coordinating candidates and interviews end-to-end while keeping every stakeholder in the loop - whatever their role or seniority. Reporting into our Senior People Workflow Specialist, you'll be a trusted point of contact across the business, and someone who's always asking: is there a better way to do this? This isn't a role for someone who just wants to run the process as-is. We'll want your ideas on where AI or automation could help - if there's a smarter, faster way to do something, we want to hear about it and support the activation!
  • Coordinating recruitment activities across the process - using AI and automation to keep things moving at pace without sacrificing accuracy
  • Ownership of your day to day tasks, from managing diaries across multiple timezones and guiding both candidates and senior stakeholders through the process, to posting job adverts and maybe even creating job offers.
  • Owning internal and external comms across the hiring process - keeping your candidates and stakeholders clearly and consistently in the loop
  • Building genuine relationships with Hiring Managers across every level of the business, coordinating their hiring efforts while keeping them clearly informed and supported at each step
  • Delivering a next-level candidate experience that's fast, clear and memorable for every applicant - successful or not

What You’ll Bring

This role suits someone early in their career who's already coordinated fast-moving, detail-heavy work - but you don't need TA experience specifically. Strong backgrounds in PA, EA, office management or general coordination are just as welcome as recruitment coordination. Here's what the team will be looking for in you:

  • Proven coordination or administrative experience - hands-on ATS experience such as Greenhouse is a plus. You will be able to hit the ground running with minimal ramp-up time
  • Detail attentive while driven by urgency - accuracy-obsessed, steady under pressure, fast to react, and quick to reprioritise no matter the pace. Time management is your superpower.
  • Strong and adaptable communication skills to keep candidates, Hiring Managers and the wider team clearly and consistently in the loop
  • Fluency in and a genuine curiosity about AI tools and automation - you’re already using this in your day to day - constantly looking for ways in which AI can help you work more efficiently and effectively
  • Natural problem solver - you notice when something's not quite working and aren't afraid to flag it and offer a solution
  • You keep a pulse on the talent market - who's hiring, what candidates expect, and where the competition is moving - so every conversation with candidates and Hiring Managers is grounded in what's actually happening out there, not guesswork
  • A passion for delivering a positive, memorable candidate experience - every touchpoint matters, and you're a brand ambassador for GWI throughout
