About Hi! Virtual
We provide virtual business management and admin support services, working with small and growing businesses across the UK. We love being the calm, capable support our clients can lean on, so business owners and their teams can get on with what only they can do. We're a friendly, down-to-earth bunch and we're looking for someone who'll fit right in.
The Opportunity
One of our lovely associates is moving on to an employed role (we're delighted for her!), so we're on the lookout for a reliable, self-employed Associate Virtual Assistant to take over the support of two wonderful, long-standing clients. Both have been with Hi! Virtual for several years, so you'll be stepping into warm, well-established relationships with clear routines already in place, and plenty of support to get you settled in.
This is a self-employed, business-to-business arrangement (via our standard Associate Agreement), not a contract of employment.
Hours & Working Pattern
Approximately 35 hours per month in total, split across two clients
- Client A: around 10 hours per month
- Client B: around 25 hours per month
Work is spread across the week rather than concentrated in set blocks, with daily email/inbox checks needed for both clients
Remote working, UK based, using your own equipment
What You'll Be Doing
Day to day, the role is a lovely mix of routine and reactive work. You'll be keeping on top of a couple of busy inboxes (and Slack), handling invoicing and payment queries, updating spreadsheets and reports, and picking up all sorts of ad hoc requests as they land, everything from booking travel to chasing down a missing document. There are some recurring weekly and monthly tasks to keep things ticking along nicely, plus a handful of annual bits and pieces like insurance renewals, seasonal client gifts, and supporting HR processes like onboarding new starters.

One of the two clients needs a slightly more hands-on, EA-style approach, so you'll sometimes be trusted with sensitive access and asked to take ownership of a problem and see it through, rather than just flagging it and waiting. You'll need to be comfortable asking questions and finding your own way, with guides and support on hand for anything more complex.
Software you'll be using day to day: Xero, Google Drive, Outlook, Gmail, Slack, Shapes, SeedLegals and Atlas. If you haven't used any of these before, it's not a deal breaker but you will need to be able to get to grips with new systems quickly.
Skills You'll Need
- Confident, general VA experience across admin, inbox and diary management
- Comfortable with invoicing and basic bookkeeping tasks (Xero experience is a bonus)
- Happy chasing payments and dealing with client queries in a friendly, professional way
- Good with spreadsheets, for keeping reports and trackers up to date
- Some HR administration experience, or a willingness to learn (onboarding, general queries)
- Confident coordinating travel, bookings and diary requests
- Clear, warm written communication for both email and instant messaging
- Trustworthy and discreet when handling sensitive or confidential information
- Strong IT skills and quick to pick up new software and systems
- A proactive, can-do attitude, happy to dig into a task and see it through

A Bit About You
Beyond the skills above, we're really looking for someone lovely to work with who takes real pride in doing a good job. Ideally you'll also be:
- Confident using your own initiative and getting on with things without close supervision
- Reliable and consistent, with good communication if anything's running late or needs a bit of input
- Based in the UK, with a suitable home working set-up
Contract/Pay/Other requirements
Self-employed, sub-contractor basis under Hi! Virtual's standard Associate Agreement
Invoiced monthly, paid within 7 days of invoice
You provide your own equipment; any specific systems required will be set out with logins provided
You must have Professional Indemnity insurance in place prior to commencing in the role
