ATC Reception and Facilities Coordinator
Location: Birmingham
Contract Type: Permanent
Salary Package: £30,000 plus large company benefits, a broad flexible benefits scheme, and 2 paid-for volunteering days a year
Hours: 9.00 am – 5.30 pm, Monday – Friday

Role Purpose
The role is responsible for delivering a professional, welcoming and well-organised reception and facilities support service for the Advanced Technology Centre (ATC) at CV2. Acting as the first point of contact for customers, visitors, colleagues and partners, the postholder will help ensure the centre runs smoothly, is presented to a consistently high standard, and provides a seamless visitor and customer experience.
Key Responsibilities
- Manage the day-to-day reception area, ensuring it is clean, organised, presentable, and reflective of the standards of the Advanced Technology Centre.
- Coordinate visitor schedules, meeting room bookings, arrival times, parking, access requirements and host communications to ensure visits are planned effectively.
- Support the preparation and delivery of customer visits, briefings, demonstrations, workshops and events, including room readiness, AV coordination, catering, refreshments and hospitality arrangements.
- Oversee the effective operation of bookable, ad hoc and customer-facing meeting spaces across CV2, ensuring rooms are available, prepared and maintained for use.
- Liaise with hosts, facilities, security, catering, technical support and relevant internal teams to ensure visitor and operational requirements are delivered effectively.
- Manage the ATC visit pipeline, coordinating sales, presales and product management teams to support agreed visit objectives and outcomes.
- Manage incoming calls, emails, and reception enquiries in a professional and timely manner, redirecting or escalating where appropriate.
- Maintain accurate visitor records, booking information, attendance logs, meeting room documentation and reception materials, ensuring information is reviewed, updated and displayed appropriately.
- Provide practical support to customers, visitors and colleagues, including Wi-Fi queries, taxi bookings, stationery requests, courier arrivals and deliveries.
- Work with Security and staff on fire drills, evacuation procedures, door entry, and PAC system issues.
- Identify and resolve operational issues across CV2, escalating complaints, concerns, or service risks to senior management or the Line Manager where required.
- Continuously develop knowledge and confidence in using ATC software platforms, including audio-visual screen management and room booking systems, to ensure smooth day-to-day operations and effective support for visitors, meetings, and events.
- Monitor office supplies, reception materials, visitor badges, refreshments, stationery, and branded collateral, ensuring stock levels are maintained.
- Proactively identify opportunities to improve reception processes, visitor journeys, and the overall customer experience within the centre.
- Provide backfill support to Head of Reception as and when necessary.

Skills And Experience
- Excellent written and verbal communication skills, with the ability to communicate effectively with stakeholders at all levels.
- Computer literate with a good working knowledge of Outlook, Word, and basic computer systems.
- Strong administrative skills and experience using office management systems.
- Strong organisational and multitasking abilities, with flexibility to adapt to changing priorities.
- Ability to handle sensitive information with discretion.
- High attention to detail and accuracy.
- Proactive and able to work independently.
