Our Attendance Officer will play an important pastoral role, working together with families to develop relationships built on compassion, trust and respectful professional challenge. Regular attendance is central to children’s learning, wellbeing and future success. We are looking for an organised, approachable and proactive part-time Attendance Officer who will combine accurate administration and confident use of data with a calm, professional and supportive approach to pupils and families.
The Role
Working closely with senior leaders, safeguarding and pastoral colleagues, you will:
- Promote the school’s values of love, hope and belonging through positive relationships with pupils and families, working in partnership with them so that they feel supported, included and part of our school community;
- Build positive, professional and trusting relationships with pupils and their families, recognising that effective pastoral support is central to improving attendance;
- Draw on pastoral experience to identify barriers to attendance and help families access appropriate support;
- Check daily registers and follow up promptly on missing or inaccurate marks;
- Complete first-day absence calls and follow-up communications with parents and carers;
- Ensure attendance, punctuality, communications and interventions are recorded accurately on the school’s management information system;
- Monitor individual and whole-school attendance data, identifying patterns, vulnerable groups and pupils at risk of persistent or severe absence;
- Produce clear reports and updates for senior leaders, governors, the Trust and the local authority, as required;
- Arrange and contribute to attendance meetings with pupils, parents and carers;
- Work constructively with families to understand barriers to attendance, agree attendance action plans, set clear expectations and review progress;
- Prepare attendance letters and maintain accurate, confidential case records;
- Conduct home visits with an appropriate colleague and in accordance with the school’s safeguarding and lone-working procedures;
- Carry out all attendance procedures in accordance with the school’s Attendance Policy, safeguarding procedures and current local authority guidance;
- Manage requests for leave of absence during term time and maintain accurate supporting documentation;
- Refer unauthorised holidays and other eligible absences to the local authority for consideration in accordance with the school’s policy and local authority procedures;
- Prepare the necessary information and records to support local authority referrals, including referrals for penalty notices where appropriate;
- Support processes relating to Children Missing Education, unauthorised absence and other statutory attendance matters;
- Liaise appropriately with safeguarding colleagues, the local authority and other external professionals; and
- Recognise when absence may indicate a safeguarding concern and refer concerns immediately through the school’s agreed procedures.

About You
We are looking for someone who:
- Has experience of pastoral work or supporting children and families;
- Can build positive, professional and trusting relationships with pupils, parents and carers;
- Understands that families may experience complex barriers to attendance and can respond with empathy, consistency and appropriate professional challenge;
- Is confident conducting sensitive or challenging conversations about attendance, punctuality and unauthorised absence;
- Can work within the school’s Attendance Policy, safeguarding procedures and local authority guidance;
- Understands the importance of accurate record keeping when cases may be referred to the local authority;
- Has strong written and verbal communication skills;
- Is highly organised and able to manage competing priorities and strict daily deadlines;
- Handles confidential and sensitive information appropriately;
- Is confident using Microsoft Office and electronic record-management systems;
- Can interpret attendance information and communicate key findings clearly;
- Works effectively both independently and as part of a pastoral, safeguarding and administrative team; and
- Will be sympathetic to the culture and ethos of our Christian distinctiveness.
Qualifications And Experience
Applicants should have:
- GCSE English and mathematics at Grade 4/C or above, or equivalent;
- Experience of administrative work and maintaining accurate electronic records;
- Pastoral experience or experience of supporting children and families;
- Experience of developing constructive relationships with parents and carers;
- Experience of communicating sensitively and professionally about concerns or challenging issues;
- An understanding of safeguarding responsibilities when working with children and families; and
- Has or is willing to undertake designated lead safeguarding training.
Experience of working in a school, applying an attendance policy, using a school management information system, analysing attendance data, conducting home visits or working with the local authority and other external agencies would be an advantage. Training can be provided for the right candidate, but applicants must be willing to keep their knowledge of attendance expectations, safeguarding guidance and local procedures up to date.
