Job Description: Automation & Workflow Architect
About the Role
As an experienced Automation & Workflow Architect, you’ll bring deeper systems thinking and process mapping expertise to the role. This is a position that moves beyond execution to architecture scalable, AI-driven workflows using Gemini and API integrations, with a focus on prompt engineering for automation.
Ideal for someone who thrives on technical excellence combined with a proactive, solution-oriented mindset. You’ll collaborate closely with operational teams and stakeholders to analyze system logic, uncover cross-account commonalities, and define strategic workflow priorities. Additionally, you’ll leverage data tools to measure ROI and communicate insights to leadership with clear, quantifiable results.

Workflow Architecture & AI Integration
- Design and implement automation tools and workflows to drive efficiency across business functions
- Build scalable, sustainable solutions that span multiple teams and services
- Translate operational challenges into practical technical solutions
- Ensure the development and optimization of internal systems and processes
Process Improvement & Innovation
- Identify inefficiencies ripe for automation and recommend smart process enhancements
- Champion continuous improvement initiatives across teams and services
- Utilize technology to reduce manual labor and improve operational consistency
Stakeholder Collaboration
- Work closely with teams and stakeholders to gather requirements and align projects
- Provide technical guidance and support throughout automation initiatives
- Communicate ideas, progress, and recommendations clearly, bridging gaps between technical and non-technical audiences
Performance & Optimization
- Monitor effectiveness and reliability of automation solutions
- Troubleshoot issues and iterate for continuous performance improvements
- Drive the evolution of tools, systems, and workflows in response to operational needs

Skills & Requirements
What We’re Looking For
You’ll excel in this role if you:
- Love solving problems and optimizing workflows
- Combine strong technical, data architecture, and analytical skills
- Possess a systems-thinking perspective, seeing end-to-end organizational logic—not isolated tasks
- Generate proof of ROI through quantitative data analytics for your automation efforts
- Operate confidently across technical teams and business leadership
- Translate technical insights into clear stakeholder communication
- Take ownership and apply a proactive, strategic approach
- Embrace curiosity, adaptability, and continuous improvement
Experience
While we prioritize attitude over experience alone, your background should demonstrate the following:
Essential
- 4–6 years of professional experience in technology-focused or workflow automation environments
- Workflow mapping and process logic design, leveraging data schemas to identify business needs
- Practical experience building integrated AI solutions, including:
- Prompt engineering for automation
- System integration via APIs
- Data and ROI analytics: Establishing dashboards to measure automation performance metrics
- Experience across the full application lifecycle: design → build → deploy → maintain
- Strong programming skills (e.g., JavaScript, Python, Java)
- Proficiency in SQL databases, data modeling, and query optimisation
- Analytical and problem-solving prowess in dynamic, cross-system environments
Desirable
- Google ecosystem experience (Google Workspace, Cloud, Looker Studio, etc.)
- Knowledge of APIs, system integrations, networking, and cloud environments
- Expertise supporting production applications and runtime environments
- Ability to build custom performance dashboards and monitoring tools
- Familiarity with Agile, Lean, or Six Sigma methodologies

Work Arrangements
UK-based, Flexible Options – This role accommodates candidates across the UK. Possible arrangements include:
- Hybrid model: Split between home and our Edinburgh office
- Fully remote work setup
Salary & Schedule
- Hours: 37.5 hrs per week, Mon–Fri, 09:00–17:30
- Compensation:
- Competitive salary
- Performance-based bonuses
- 33 days holiday
- Flexitime (core hours: 10:00–16:30)
