B2B Sales Coordinator

Role Overview

We’re looking for an organised, reliable and detail focused B2B Sales Coordinator to support the day to day running of BON CHARGE’s B2B channel across hospitality, fitness, wellness, healthcare and retail.

You will own the administration behind our wholesale and trade accounts: processing purchase orders, preparing quotes, coordinating fulfilment with Operations and Logistics, keeping the CRM and pipeline accurate and following up on invoices and payments. You will also handle the B2B inbox, qualify inbound enquiries and book calls for the B2B Partnerships Manager.

This is a process driven, back office role suited to someone who enjoys keeping accounts running smoothly, closing loops and working across teams. You’ll collaborate closely with Customer Service, Operations, Logistics, Finance and Marketing.

Key Responsibilities

Order Processing and Account Administration

  • Process and confirm purchase orders from wholesale and trade accounts, checking pricing, stock availability and delivery details
  • Prepare quotations and pro-forma invoices and follow up outstanding quotes
  • Provide day to day administration for key accounts including PO processing, order tracking, invoicing and payment follow up
  • Coordinate order fulfilment with Customer Service, Operations and Logistics
  • Track shipments and communicate delivery updates to accounts
  • Manage returns, replacements and order issues through to resolution

Invoicing and Payments

  • Raise invoices and ensure billing details are accurate for every order
  • Track outstanding payments, chase overdue accounts and issue statements
  • Liaise with Finance on reconciliations, credit terms and account queries

Inbox and Lead Handling

  • Manage the B2B inbox and respond promptly to inbound enquiries
  • Qualify new leads against agreed criteria and send pricing, decks and introductory information
  • Book discovery calls with qualified prospects for the B2B Partnerships Manager
  • Ensure every enquiry receives timely follow-up and nothing is missed

CRM, Reporting and Process

  • Maintain an accurate CRM and B2B sales pipeline
  • Deliver weekly updates on orders, inbound enquiries, outstanding payments and open actions
  • Create and manage Asana tasks to support internal delivery
  • Keep price lists, order forms, case studies and B2B collateral up to date
  • Support B2B events and activations with logistics and administration
  • Identify ways to improve order, account and reporting processes

Key Requirements

  • 1 to 3 years’ experience in sales administration, order processing, customer service, account support or commercial operations
  • Highly organised with exceptional attention to detail
  • Comfortable with invoicing, purchase orders and basic accounts receivable processes
  • Excellent written and verbal communication skills
  • Experience using CRM systems and project management tools (Asana experience desirable)
  • Confident with spreadsheets and order management or e-commerce platforms (Shopify experience desirable)
  • Able to manage multiple priorities in a fast-paced environment
  • Confident working autonomously in a fully remote environment, with excellent self-management and time management skills
  • Proactive and reliable, with a habit of closing loops
  • An interest in health, wellness, hospitality or premium consumer brands
