About the Role
We are excited to offer two full-time opportunities for experienced and motivated administrators to join our Neighbourhood Mental Health Services as Senior Administrator and Business Support Managers.
In this key leadership role, you will work closely with the digital business partner, Associate Director, and service managers to provide high-quality business and administrative support that helps services run efficiently and deliver excellent care to local communities. Also, you will provide strong administrative leadership across the locality, with a particular focus on performance monitoring, service coordination, and continuous improvement. Providing supervision and development to other members of the administration teams.
This is an excellent opportunity for someone with strong organisational, analytical, and people management skills who enjoys leading administrative teams, driving service improvements, and using data to support performance and decision-making. You will play a vital role in coordinating services, overseeing key administrative processes, and developing colleagues within a supportive and forward-thinking mental health service.
Responsibilities
- Provide oversight and monitoring of team’s performance.
- Extract data from systems such as Power BI and write reports.
- Receive and process referrals to the relevant clinician and system(s).
- Process discharge paperwork and update system(s) accordingly.
- Provide day-to-day supervision and monitoring of workload for Band 2 and 3 administrators.
- Undertake regular managerial supervision and appraisal of administrators within the team.
- Provide secretarial support to the General Manager/Service Managers, as required, i.e. ESR approvals, diary management, monitoring cover arrangements, arranging agency workers, arranging meetings, DATIX reports, etc.
- Monitor annual leave requests for manager as required.
- Troubleshoot IT and other problems as they arise.
- Manage the recruitment process for Band 2, 3, and 4 admin vacancies.
- Undertake project work on behalf of manager such as audit/data collection, etc.
- Assist with investigations and complaints as required.
- Type up reports incorporating graphics and tables as required.
- Arrange specialist workshops and events as required.
- Type all letters dictated or provided by the team.
- Book appointments on the patient record system.
- Answer telephone calls and relay any messages in a timely manner.
