Job Summary
An exciting opportunity has arisen for an enthusiastic and well-organised Band 3 Admin Coordinator to join the Respiratory Same Day Emergency Care (SDEC) team based at Washwood Heath Community Diagnostic Centre.
Birmingham and Solihull's Respiratory SDEC service provides adults with rapid access to specialist respiratory assessment and treatment in the community, and ensures patients receive timely, high-quality care closer to home.
This is a busy and rewarding role supporting a dynamic multidisciplinary team. You will play a key role in coordinating patient pathways, managing referrals, arranging appointments, maintaining patient records and ensuring administrative processes run smoothly. The post holder will work closely with clinicians, patients, GP practices, community teams and other healthcare providers to support the efficient delivery of the service.
We are looking for a proactive and motivated individual with excellent organisational, communication and IT skills. Previous administrative experience is essential, ideally within an NHS or healthcare setting. The successful candidate will be able to prioritise a varied workload, work independently using their own initiative and remain calm under pressure whilst maintaining a high standard of accuracy and professionalism.

Main Duties, Tasks & Skills Required
- Provide comprehensive administrative support to the Respiratory Same Day Emergency Care (SDEC) service.
- Process referrals and support clinical triage processes to ensure patients are managed appropriately and within agreed timescales.
- Coordinate clinic bookings, appointments and patient pathways, ensuring efficient use of capacity.
- Act as a key point of contact for patients, clinicians, GP practices and external organisations.
- Manage telephone enquiries, accurately record and relay messages, and escalate urgent information as required.
- Monitor and manage shared email inboxes, responding to and directing enquiries appropriately.
- Maintain accurate patient records and administrative systems in line with Trust policies and NHS standards.
- Establish and maintain effective administrative processes to support service delivery.
- Liaise with clinicians and multidisciplinary teams to facilitate timely patient care and pathway progression.
- Arrange meetings, prepare agendas and supporting documentation, take minutes, and monitor completion of follow-up actions.
- Manage incoming and outgoing correspondence, including typing and distributing clinical and non-clinical letters.
- Produce reports and activity data as required and support service improvement initiatives.
- Prioritise workloads effectively, working independently and collaboratively within a busy environment while maintaining confidentiality and professionalism at all times

- Good General Education (e.g. GCSE English and Maths A-C) GCSE Level 9-4
- Business Administration NVQ level 3 or equivalent experience in an administrative environment

- Experience of working with a range of Microsoft Office packages (eg. Word,Excel and Outlook)
- Experience of using IT systems
