Job Summary
Temporary 12-month maternity cover Band 3 administration and clerical post
The post holder will work as part of a team providing comprehensive Administration / Co-ordination support to the Paediatric Physiotherapy Hip Scanning Team.
The post holder's work will incorporate direct support for the hip scanning service that is delivered within Paediatric Physiotherapy Team. This will include at times sitting in the clinics completing the administrative tasks and onward correspondence.
This post will involve working across sites supporting clinic at Birmingham Heartlands Hospital, Good Hope Hospital and Solihull Hospital.
This will also involve working in conjunction with colleagues, service users and stakeholders to provide an efficient service.
Main Duties, Tasks & Skills Required
- To support the therapists with day to day admin tasks related to the infant hip screening service, this may include sitting in clinic to create letters.
- To undertake typing which may include touch type from audio and/or copy type from written documentation which may include letters, emails, reports, and any other correspondence as required.
- To exercise initiative and judgement based on acquired knowledge and experience when dealing with enquiries.
- Receiving and dealing with telephone and email enquiries as appropriate, from both staff and patients.
- To maintain diaries as required, and book/reschedule patients accordingly.
- Input and look up data on Trust IT systems in accordance with Trust policy. Extract and input data from several different sources.
- Arrange meetings, appointments and support with any internal audits, as necessary.
- To assist colleagues as directed by the Supervisor/Line Manager in times of pressure of work.
- Co-operate in the introduction of new technology and new working practices to ensure the smooth running of the department.
- Photocopying, Scanning, and filing letters and documents as required.
- Working closely with both the physiotherapists within the team as well as the wider MDT to include the failsafe screening team.

Qualifications
Essential
- Good general education, including GCSE English and Maths (Grade A--C / 9--4).
- NVQ Level 3 in Business Administration or equivalent administrative experience.
Desirable
- IT qualification such as ECDL.
- RSA Level 3 typing or equivalent experience within administrative environment.
Experience
Essential
- Experience working with the public and delivering high quality customer service.
- Experience using Microsoft Office applications (Word, Excel, Outlook).
- Experience using IT systems for data entry and information retrieval.
- Experience working in a busy, fast paced environment.
- Understanding of confidentiality, data protection and information governance requirements.
Additional Criteria
Essential
- Previous experience working in an administrative role, preferably within a health or care setting.
- Ability to maintain confidentiality and handle sensitive patient or service related information appropriately.
- Experience of coordinating meetings, clinics, or service activities.
- Experience of diary management or appointment scheduling.
- Ability to plan, prioritise, and manage own workload to meet deadlines and service requirements.
- Ability to meet the travel requirements of the role, including cross site working between Trust locations (e.g. Queen Elizabeth, Heartlands, Good Hope, and Solihull Hospitals).
- Ability to work under pressure and manage competing deadlines while maintaining accuracy and attention to detail.
- Commitment to working to a high professional standard, demonstrating reliability, integrity, and initiative.
- Willingness to learn, develop, and participate in training, appraisal, and personal development opportunities.

Desirable
- Previous NHS administrative experience.
- Experience of using NHS financial or ordering systems, such as iProc (Oracle), SAGE, or other Trust systems.
- Understanding of the importance of patient centred care and the role of clinical administration in supporting patient pathways.
