Role Description

The Band 3 Assistant Workforce Coordinator is a full-time, on-site role based in the London Area, United Kingdom. In this position, the postholder supports workforce planning and staff coordination, including maintaining rotas, updating staffing schedules, and monitoring attendance and leave records. Day-to-day tasks involve data entry and maintenance of workforce systems, preparing routine reports for managers, and responding to queries from staff regarding shifts, contracts, and general HR-related information. The role also includes liaising with departments to resolve scheduling issues, supporting recruitment administration and onboarding activities, and ensuring accurate documentation in line with NHS policies. The Assistant Workforce Coordinator works closely with the wider HR and workforce teams to help ensure that services are appropriately staffed and that processes run efficiently.

  • Strong administrative and organizational skills, including experience with data entry, record-keeping, and managing calendars or rotas.
  • Proficiency with office software (e.g., MS Office suite), HR or workforce systems, and ability to learn new digital tools quickly.
  • Effective communication skills, both written and verbal, with the ability to respond to staff queries and interact professionally with colleagues at all levels.
  • Attention to detail and accuracy in handling confidential information, staffing data, and official documentation.
  • Ability to work in a busy environment, prioritize tasks, meet deadlines, and adapt to changing service needs.
  • Experience in HR, workforce planning, or a similar administrative role within healthcare or the public sector is beneficial.
  • Understanding of or willingness to learn NHS policies, procedures, and values, including commitment to equality, diversity, and inclusion.
  • Education to GCSE/A-level standard or equivalent; additional HR or administration-related qualifications are an advantage.
