Job Summary

Staff partnership brings colleagues, trade union representatives and Trust managers together to listen, share perspectives and address the issues that matter. It's an important part of building trust, strengthening working relationships and helping colleagues feel heard, supported and valued.
The Partnerships team supports working relationships between the Trust and Staff Side, which brings together 14 recognised trade unions under the Trust's Partnership Agreement. Staff Side represents colleagues and raises their concerns with Trust managers. You will provide the reliable day-to-day administration that helps meetings run smoothly, information remain accurate and agreed actions move forward.
This opportunity offers a practical route into people-related services as part of our Staff Partnerships team. Based at Regents Court and supporting services Trust-wide, you will help the team provide an organised, responsive and professional service to colleagues, managers and staff-side partners across UHB.
For someone interested in developing a career in HR, employee relations or people services, the post offers valuable exposure to partnership working and the arrangements that support staff engagement and consultation. It provides a strong foundation for broader administrative or corporate roles, where organisation, confidentiality, communication and sound judgement are highly valued.
Main Duties, Tasks & Skills Required
- Help keep the work of the Staff Partnerships team organised and on track
- Manage shared inboxes and diaries
- Arrange meetings, prepare agendas and papers
- Take accurate minutes and transcribe and circulate them promptly
- Maintain action logs and records
- Respond to telephone and email enquiries
- Support the coordination of partnership meetings, engagement activity and related events
- Update Trust systems and trackers
- Format correspondence and reports
- Process routine documentation
- Maintain confidential electronic records
- Help monitor deadlines and follow-up actions
- Build relationships with colleagues in different services and become a point of contact who understands what needs to happen next

A genuine desire to help and support colleagues is important, together with the ability to respond sensitively and with empathy when staff concerns or difficult situations arise. You should be comfortable using MS Office, handling sensitive information with discretion and communicating professionally with a wide range of people. You do not need to know everything about staff partnership working from day one, but you will need curiosity, attention to detail and a willingness to learn.

Person specification
Qualifications
Essential
- NVQ Level 3 in Business Administration or demonstrable equivalent experience in an administrative or office-based role.
- Knowledge of administrative procedures, including specialised IT systems and project management, training knowledge, acquired through formal training or experience to diploma level or equivalent relevant experience.
Desirable
- IT qualification such as ECDL.
- RSA Level 3 typing or equivalent experience within administrative environment.
Experience
Essential
- Excellent communication skills, both written and verbal.
- Ability to plan work and multi-task.
- Advanced IT skills with a working knowledge of Microsoft packages such as: Outlook, Word, and Excel.
- Ability to work autonomously, or as part of a team.
- Minute taking
- Able to remain calm in a busy environment.
