Job Summary
To lead and manage an effective Nuclear Medicine booking, reception, secretarial and clerical team to provide comprehensive and high-quality administrative and coordination support to a clinical/service area, working closely with multidisciplinary teams, service users and key stakeholders to ensure the delivery of an efficient and effective service.
The post holder will be responsible for coordinating clinics and meetings, managing appointments and waiting lists, and acting as a central point of contact for patients, staff and external partners. This will include booking and rescheduling appointments, maintaining accurate records, and supporting outpatient and service activity in line with local procedures.
The post holder will be required to exercise initiative and judgement, using acquired knowledge and skills to manage competing priorities while maintaining confidentiality at all times. They will provide a professional, empathic and sensitive point of contact for service users.
The post holder will also support the day-to-day supervision, training and allocation of work for administrative and clerical staff, contributing to service improvement and effective team working.
Main Duties, Tasks & Skills Required
- Have incidental and routine contact with patients, service users and carers as part of the administrative and coordination function of the role.
- Provide a professional, courteous and empathetic approach when interacting with service users, responding appropriately to queries and requests.
- Work in accordance with national and organisational policies, procedures, legislation and codes of conduct, maintaining awareness of updates and ensuring personal compliance.
- Support adherence to policies within the team, escalating concerns appropriately.
- Participate in the implementation of new systems, technology and initiatives to support service improvement and the smooth running of the department.
- Use Microsoft Office applications and organisational IT systems to produce correspondence, reports, presentations and documentation.
- Create, update and maintain databases, spreadsheets and filing systems to support the accurate collection, storage and retrieval of service information.
- Use initiative and judgement to respond to routine and non-routine enquiries and issues within defined policies and procedures.
- Apply problem-solving skills to identify appropriate actions and alternative solutions within own area of responsibility.
- Recognise situations that require escalation and refer matters promptly and appropriately to the line manager or senior colleagues.
- Work independently within agreed parameters, using acquired skills and knowledge while maintaining confidentiality at all times.

Qualifications
Essential
- Knowledge of a broad range of administrative and coordination procedures and systems, including non-routine processes, typically gained through training and experience to Business Administrator NVQ Level 3, or equivalent.
- Understanding of specialist terminology, organisational policies, procedures, and service-specific requirements.
- Awareness of data protection, information governance, confidentiality standards, and relevant compliance expectations.

Experience
Essential
- Experience of working in a customer-focused or public-facing role.
- Experience of working in an administrative or secretarial role, with the ability to support service delivery effectively.
- Demonstrable experience of using initiative and problem-solving skills to manage routine and non-routine administrative tasks.
- Understanding of the importance of confidentiality and information governance in a healthcare or public sector environment.
Desirable
- Experience of working in a busy environment.
- Experience of working in healthcare.
- Previous experience of transcribing formal minutes.
