Job Summary
An exciting opportunity has arisen to join the busy Imaging Department at Queen Elizabeth Hospital as Office Manager. We are seeking individuals with experience working in an office environment and who are keen to develop their skills and experience.
The successful candidate will be responsible for overseeing the day-to-day management of the Clerical and Administrative Team who provide a comprehensive Imaging Service at Queen Elizabeth Hospital.
We are looking for someone with significant experience of line managing large teams of staff in particular focusing on management of staff performance and sickness absence. This should also include experience dealing with a range of issues e.g. recruitment and retention, appraisals, grievances and disciplinary procedures.
As we work across multiple sites, you'll be approachable, reliable, and able to build rapport with team members and visitors from a range of cultures and backgrounds.
The post holder will be highly motivated, leads by example and is solution focused. We are looking for individuals with genuine enthusiasm for providing the highest standards of office support, and someone who is resilient and adaptable in a fast pace professional environment. You will be expected to use your initiative whilst working in busy environments and to actively look for opportunities to explore improved ways of working in order to enhance the quality and efficiency of the imaging service provided.
Main Duties, Tasks & Skills Required
The post holder will ensure that all Waiting Lists for the Imaging directorate are managed accordingly, adhering to NHS Diagnostics Waiting Times and internal Trust targets, adapting to any change or instructions given by the Senior Management Team and ensuring that appointment slots are fully booked and utilised accordingly. This will require working autonomously to understand and drive operating targets and relevant HR management.

The post holder will also need to develop excellent internal working relationships with Site Leads, Radiographers, Doctors and Consultants across all imaging modalities as well as external stakeholders such as GP's, Dental Surgeries and other healthcare providers.
The post holder will manage and monitor performance of the bookings and reception teams to ensure that the service meets its financial and operating targets. Problem-solve all day-to-day management issues organising and reallocating work where situations change due to variations to the work load and staffing availability.
The post holder will have the ability to work under pressure and to tight deadlines, will possess confident communication skills, and be computer literate in MS packages.
The workload will be varied and can be challenging, however being able to multitask in an efficient manner whilst maintaining a caring and helpful attitude underpins everything you do.

- Degree in Business Administration or relevant subject or equivalent experience and training
Experience

- Experience of dealing with the Public/Customer service experience
- Experience of working in an administrative role with a proven track record of problem solving and managing a team of staff
- Experience of managing complex diaries using own judgement when dealing with conflicting appointments and priorities
- High proficiency of working with a range of Microsoft Office packages (e.g. Word, Excel and Outlook)
- Experience of working in a busy environment working independently and exercising judgment and decision-making skills
- Experience in handling patient complaints
- Experience in managing clinics
- Experience of managing rotas
- Experience of minute taking
- Experience of recruitment and workforce planning

- Experience of using UHB IT systems
