Job Summary
An exciting opportunity has arisen for an experienced and motivated Office Manager to join the Cardiology team at Queen Elizabeth Hospital Birmingham.
Cardiology is one of the Trust's largest and most specialised services, providing tertiary and quaternary cardiac care to patients across the region and beyond. This is a busy, varied and rewarding role, offering exposure to a wide range of specialist services and the opportunity to work alongside experienced clinical and operational leaders.
As Office Manager, you will play a key role in supporting the operational delivery of the service while leading a large administrative and secretarial workforce. You will be responsible for ensuring high-quality administrative support, managing staff performance and development, and contributing to service improvement initiatives.

Main Duties, Tasks & Skills Required
The successful candidate will play a key role in the operational management of a large administrative and secretarial workforce within Cardiology, supporting the delivery of high-quality services across specialist cardiac pathways.
You will lead administrative teams: overseeing recruitment, induction, training, appraisal, attendance management and staff development. We are seeking a compassionate and approachable leader who is committed to staff wellbeing, development and creating a positive, inclusive working environment.

Key responsibilities include:
- Coordinating workloads, rotas and annual leave
- Ensuring services are appropriately resourced
- Achieving performance standards
- Monitoring activity
- Supporting workforce planning
- Analysing performance information
- Contributing to service improvement initiatives
The role requires excellent organisational and communication skills. You will lead team meetings, support staff engagement activities, and work closely with operational, nursing and medical colleagues to support service delivery and resolve issues.
You will manage complex enquiries professionally, ensuring compliance with Trust policies, information governance requirements and data protection legislation.

Qualifications
Essential
- Degree in Business Administration or relevant subject or equivalent experience and training
Experience
Essential
- Experience of dealing with the Public/Customer service experience
- Experience of working in an administrative role with a proven track record of problem solving and managing a team of staff
- Experience of managing complex diaries using own judgement when dealing with conflicting appointments and priorities
- High proficiency of working with a range of Microsoft Office packages (e.g. Word, Excel and Outlook)
- Experience of working in a busy environment working independently and exercising judgment and decision-making skills
- Experience in handling patient complaints
- Experience in managing clinics
- Experience of managing rotas
- Experience of minute taking
- Experience of recruitment and workforce planning
Desirable
- Experience of using UHB IT systems
- Experience of working in healthcare
- Experience of performance management, managing staff sickness

- Work effectively and flexibly as part of a team to meet the needs of the services
- Ability to travel to multiple sites
