Base Camp & Welfare Coordinator

Purpose of the role

World Zombie Day is looking for a calm, friendly and highly organised Base Camp & Welfare Coordinator to run the event’s main registration, information, and welfare point.

Base Camp will be the central place for attendees, volunteers, performers and event staff to check in, ask questions, receive key information, access water, report concerns and be directed to the right person. The coordinator will help create a welcoming, well-run arrival experience while keeping communication flowing between Base Camp, the parade route, and the Event Organisers.

This is an event support and welfare-information role, not a medical or security role.

Responsibilities

• Transport, set up, maintain, and close down the Base Camp / welfare point (access to a car preferable)
• Welcome attendees, check registrations, or tickets where applicable, and answer common event questions.
• Manage volunteer base camp sitters
• Act as a visible information point for participants, volunteers, performers, vendors, and members of the public.
• Provide clear directions to the parade meeting area, route, toilets, water point, first-aid kit, and other relevant locations.
• Offer free water and keep basic welfare supplies organised and accessible.
• Maintain an orderly queue and help ensure the Base Camp area does not become overcrowded or obstruct public access.
• Keep a list of volunteer arrivals, contact details, and allocated shifts, where required.
• Help direct late-arrivers.
• Share approved event information in person and online, including event-day updates, delayed departure notices, meeting-point reminders and route changes.
• Monitor event messages and flag urgent queries or concerns to the Event Organiser.
• Keep the Head Steward and Event Organiser informed of attendance, welfare issues, missing volunteers, supply shortages, or operational concerns.
• Help pack down the information point and return materials at the end of the event.
