Bespoke Events Project Manager

Location: Hersham, Surrey (KT12 3PW)
Start date: ASAP
Job Type: Full-time
Type of work: Office-based (Hybrid) & Events
Reporting To: Head of Bespoke Events

Role Overview

The Bespoke Events Project Manager will be responsible for the end-to-end operational planning, coordination and delivery of a diverse portfolio of bespoke events on behalf of our external client portfolio. Working closely with the Head of Bespoke Events, clients, venues, suppliers and internal RunThrough teams, you will take ownership of assigned events from agreed client requirements through to successful event-day delivery and post-event close-out. This is a hands-on management role requiring strong project management, client relationship and event delivery skills. You will be expected to take clear ownership of your events and areas of responsibility, making decisions, managing stakeholders and ensuring that every event is delivered safely, efficiently and to a consistently high standard. The role will primarily focus on Bespoke Events, while also supporting the operational delivery of selected events across the wider RunThrough portfolio.

Key Responsibilities

Event Planning & Project Management

  • Lead the end-to-end operational planning of assigned bespoke events, owning project timelines, event plans, risk, logistics and documentation.
  • Coordinate internal teams and suppliers to ensure all requirements and deadlines are met.

Client & Venue Management

  • Act as a key account contact for assigned clients, building strong relationships and maintaining regular communication throughout the event lifecycle.
  • Lead and attend client meetings, venue meetings and site visits, translating client requirements into effective event plans.
  • Manage venue relationships, requirements, documentation, access and third-party coordination.

Course, Event Village & Technical Operations

  • Own the planning of event villages, courses and technical requirements, including layouts, mapping, infrastructure, signage, timings and safety considerations.
  • Ensure operational plans meet client, venue and RunThrough standards.

Suppliers, Equipment & Event Assets

  • Manage operational suppliers and partners, including medical, traffic management, timing, photography and other event services.
  • Oversee the preparation and deployment of equipment, branding, signage and client assets, working closely with suppliers and the RunThrough warehouse.

Staffing & Event-Day Delivery

  • Plan staffing requirements and lead event-day teams, including staff, marshals and volunteers.
  • Take operational ownership on event day, directing setup, course and event village operations, suppliers, client and venue communications, troubleshooting and breakdown.

Post-Event Reporting & Review

  • Lead the operational close-out of assigned events, ensuring equipment and outstanding actions are followed up promptly.
  • Lead client and internal debriefs, contribute to post-event reporting and capture feedback, learnings and improvements for future events.

What We’re Looking For

Required

  • 2+ years’ experience in event operations, event management or a similar operational role, ideally within mass participation, sporting or large-scale live events.
  • Strong project management and organisational skills, with the ability to manage multiple events and deadlines simultaneously.
  • Experience taking ownership of event planning and delivering events on-site.
  • Strong client relationship and stakeholder management skills, with confidence leading meetings and working directly with clients, venues and suppliers.
  • Ability to make effective decisions and solve problems in a fast-paced live event environment.
  • Strong attention to detail and the ability to translate client requirements into clear operational plans.
  • Experience coordinating suppliers and external stakeholders.
  • Comfortable working evenings and weekends when required as part of the event calendar.
  • Full UK Driving Licence and ability to travel to events across the UK.

  • Experience delivering mass-participation running, sporting or corporate events.
  • Experience using project management platforms such as Asana.
  • Experience working within a fast-growing events organisation.
