Beverage Supply & Logistics Manager - SEC | Full-Time

The role of a Beverage Supply & Logistics Manager is crucial to the seamless execution of live events, conferences, and exhibitions. Operating at the intersection of planning, coordination, and resource management, the Logistics Manager oversees the entire logistical framework to ensure events run efficiently and successfully. Their primary purpose is to optimise the flow of materials, equipment, and personnel from pre-event planning through post-event evaluation. This involves coordinating with various internal departments, external vendors, and third-party service providers to guarantee the timely delivery and setup of necessary resources. The Logistics Manager must have a keen understanding of the specific requirements of each event, ranging from technical setups for concerts to accommodating diverse exhibitor needs in conferences. Additionally, they play a pivotal role in cost control, negotiating contracts, and managing budgets related to logistics. In essence, the Beverage Supply & Logistics Manager at SEC is instrumental in orchestrating the behind-the-scenes operations that contribute to the overall success and positive experience of participants and attendees at live events.

Beverage Supply & Logistics Manager - The Role

Event Planning And Coordination

  • Collaborate with event organisers to understand specific logistics requirements for each live event, conference, or exhibition.
  • Develop comprehensive logistics plans that encompass resource allocation, transportation, and setup schedules.
  • Ensure effective communication and coordination with internal teams, external vendors, and third-party service providers.

Resource Management

  • Cellar management – from placing orders to overseeing Beverage stock arrivals, deliveries, and distribution
  • Oversee the procurement, storage, and distribution of event materials, equipment, and supplies.
  • Optimise resource allocation to minimise waste and reduce costs while maintaining high standards of quality.
  • Implement efficient inventory management systems to track and control event-related assets.

Vendor And Supplier Relations

  • Identify, negotiate, and manage contracts with external vendors and suppliers to secure the best possible services and pricing.
  • Build and maintain strong relationships with key partners to ensure reliable and consistent support for events.

Budget Management

  • Develop and manage budgets for logistics operations, ensuring financial goals are met and costs are controlled.
  • Monitor expenses, identify cost-saving opportunities, and report on budget performance to senior management.

Transportation And Logistics Coordination

  • Coordinate transportation logistics for equipment, materials, and personnel, ensuring timely and efficient delivery to and from the venue.
  • Implement and optimise transportation routes to minimise environmental impact and reduce overall logistics costs.

Risk Management

  • Identify potential logistical challenges and develop contingency plans to mitigate risks.
  • Proactively address issues that may arise during events, finding swift and effective solutions to ensure minimal disruption.

Compliance And Safety

  • Ensure compliance with relevant regulations, health and safety standards, and venue policies.
  • Implement and enforce safety protocols for logistics operations to create a secure environment for staff, vendors, and attendees.

Technology Integration

  • Stay abreast of technological advancements in logistics and implement relevant tools and software to enhance efficiency and accuracy.
  • Utilise technology for real-time tracking of assets, transportation, and other logistics components.

Post-Event Evaluation

  • Conduct thorough post-event evaluations to assess the effectiveness of logistics operations.
  • Gather feedback from internal teams, vendors, and clients to identify areas for improvement and implement lessons learned in future events.

Leadership And Team Management

  • Lead and motivate a team of logistics professionals, providing guidance, training, and support.
  • Foster a collaborative and positive work environment that encourages innovation and continuous improvement in logistics processes.

Experience

What we're looking for:

  • Proven experience in logistics management, preferably within the events industry.
  • A minimum of 5 years in a managerial role, demonstrating successful coordination of logistics for live events, conferences, and exhibitions.

Logistical Expertise

  • In-depth knowledge of logistics principles, supply chain management, and event operations.
  • Ability to create and implement comprehensive logistical plans tailored to the specific requirements of diverse events.

Communication

  • Excellent verbal and written communication skills, with the ability to liaise effectively with internal teams, external vendors, and clients.
  • Strong negotiation and interpersonal skills for contract management and stakeholder engagement.

Problem-Solving

  • Proven ability to identify and resolve logistical challenges in a fast-paced environment.
  • Capacity to make effective decisions under pressure while maintaining attention to detail.

Budget Management

  • Demonstrated experience in managing budgets related to logistics and resource allocation.
  • Financial acumen for cost control and negotiation of contracts with suppliers.

Technology Proficiency

  • Proficient in logistics management software and tools.
  • Familiarity with event management systems and related technologies.

Team Leadership

  • Strong leadership skills with the ability to motivate and guide a diverse logistics team.
  • Experience in recruiting, training, and developing staff to enhance overall departmental performance.

Flexibility

  • Adaptability to work irregular hours, including weekends and evenings, to oversee events as required.
  • Willingness to travel for on-site coordination and management.
