We have also recently launched TheSquare.AI, our new customisable booking platform designed to allow corporate clients to set up their global travel programme their own way.
From offices in New York, London, and New Delhi, we look after and house assignees from more than 500 corporate clients worldwide; these corporations range from a mix of S&P 500 to soon-to-be public tech companies.
Role overview:
We are looking for a freelance part-time Bid and Proposal Manager (up to 24 hours a week).
The Bid and Proposal Manager is responsible for managing the process of responding to tenders, proposals, and RFPs across EMEA. This role ensures the business produces compelling, high-quality bids that maximise win rates and showcase our unique value proposition. Acting as the central point of coordination between sales, account management, operations, and leadership, the role drives consistency, quality, and efficiency in all bid submissions. This role combines strong project management skills with persuasive communication, attention to detail, and commercial insight.

Primary Responsibilities
Bid & Proposal Management
- Lead the full bid process — from opportunity qualification through to submission.
- Prepare, write, and edit bid responses, tailoring content to client needs.
- Ensure proposals meet deadlines, brand standards, and compliance requirements.
Collaboration & Coordination
- Work closely with the Senior BDM and Business Growth Manager on pursuit strategies.
- Collaborate with Account Managers and Operations to capture client insight and service data.
- Liaise with subject matter experts across the business to gather accurate input for proposals.
Commercial & Strategic Support
- Support the Sales team in developing competitive pricing and value propositions.
- Track bid outcomes and provide insights to improve win rates and sales strategy.
- Maintain a library of case studies, credentials, and standard bid responses.
Process & Quality
- Implement best practice bid management processes, ensuring efficiency and continuous improvement.
- Monitor tender portals and procurement networks for new opportunities.
- Ensure all submissions reflect company ethos, innovation, and service excellence.

The right person for this role is a natural project manager and advocate, able to coordinate across teams and articulate the needs of each proposal to ensure quality and drive wins. They are not afraid to roll up their sleeves, take ownership, and push bid opportunities forward with determination and accountability.
