Role Description
The Bid Assistant is a full-time, on-site role based in Loanhead, supporting the preparation and coordination of tenders and proposals for new and existing clients. Day-to-day responsibilities include:

- Gathering and organizing bid documentation
- Updating proposal templates
- Assisting with the completion of pre-qualification questionnaires and formal submissions
The role involves coordinating input from technical, commercial, and project teams, ensuring that deadlines are met and bid requirements are fully addressed. The Bid Assistant will:
- Maintain bid trackers and databases
- Support the review of client specifications
- Help prepare clear, accurate written content
Additional duties include:
- Liaising with internal stakeholders
- Supporting process improvements in bid management
- Contributing to the consistency and quality of all proposal materials
Qualifications
- Strong written and verbal communication skills, with the ability to produce clear, concise bid and proposal content.
- Experience with document management, data entry, and basic administrative support in a commercial or engineering environment.
- Good organizational and time management skills, including the ability to prioritize tasks and meet tight deadlines.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and familiarity with using shared drives or bid management tools.
- Attention to detail, with a focus on accuracy, formatting, and compliance with client requirements.
- Ability to work collaboratively with multidisciplinary teams and build effective working relationships.
- Comfortable working in an on-site office environment in Loanhead, with a flexible and proactive approach to changing priorities.

Desirable:
- Prior experience in bid coordination, proposals, or tender administration; understanding of engineering, construction, or industrial services sectors.
- Vocational qualification or degree in Business, Administration, Communications, or a related field.
